About this opportunity
The Southwest Ohio Regional Transit Authority (SORTA) is requesting quotations for 30 line items of inventory parts to support transit operations under RFQ 5443, with quotes due September 15, 2026 at 11:00 a.m. — same-day deadline from posting. All bids must be submitted through the e-Procurement Portal; bids in other formats are non-responsive.
The scope encompasses mechanical and electrical components including springs, switches, pulleys, clamps, harnesses, bolts, caps, hubs, fuses, bumper modules, hinges, panels, valves, gauges, tanks, and LED drivers, with quantities ranging from 1 to 10 units per line item. All pricing must be all-inclusive of freight. Bidders must note lead times in days in the Notes field to reflect the time required to fulfill the entire delivered quantity. If quoting non-OEM or alternative part numbers, bidders must reference the replacement part number in the format (RM#######). Any applicable core fees must be entered in the Notes field.
Award will be made to the responsible bidder submitting the lowest responsive bid, considering character, integrity, reputation, past performance, technical qualifications, financial resources, delivery capability, and compliance with federal, state, and local regulations including Disadvantaged Business Enterprise requirements. Quotes must remain valid for 30 days. Late bids will not be considered unless circumstances beyond the bidder's control prevented timely submission or an emergency extends the deadline.

RFQ Bid Form Instructions
BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE
PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID
• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.
• Items of Importance:
- All quotes must have the freight included in the price.
- Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
- "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
- If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
- Enter any Core fee in the NOTES field located in the pricing table
- If you do not carry a part, please select "no bid."
