About this opportunity

Southwest Ohio Regional Transit Authority (SORTA) is requesting quotations for 33 line items of inventory parts for transit vehicle operations under RFQ 5409, with responses due July 29, 2026 at 11:00 a.m. — a same-day deadline. All bids must be submitted electronically through the e-Procurement Portal at https://procurement.opengov.com/portal/go-metro; bids in other formats will be considered non-responsive.

The scope covers mechanical and electrical components including hoses, studs, plugs, clamps, o-rings, valve kits, brackets, panels, fasteners, belts, lamps, gaskets, brake components, compressors, hinges, headlights, racks, bumpers, tanks, sensors, switches, and circuit boards. Quantities range from one to thirty units per item. All pricing must be all-inclusive and include freight. Bidders must specify lead times in days for fulfilling the entire delivered quantity in the Notes column of the bid table. If quoting non-OEM parts or alternative part numbers, bidders must indicate the replacement part number in the format (RM#######). Any applicable core fees must be entered in the Notes field.

Award will be made to the responsible bidder submitting the lowest responsive bid. Evaluation factors include bidder character, integrity, reputation, DBE compliance, technical capability, financial resources, past performance, and ability to meet delivery schedules. Quotes must remain valid for thirty days.

RFQ Bid Form Instructions

BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE

PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID

• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.

• Items of Importance:

  1. All quotes must have the freight included in the price.
  2. Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
  3. "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
  4. If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
  5. Enter any Core fee in the NOTES field located in the pricing table
  6. If you do not carry a part, please select "no bid."
