About this opportunity

Southwest Ohio Regional Transit Authority (SORTA) is soliciting quotes for 15 line items of inventory parts for transit vehicle maintenance, with responses due July 22, 2026 at 11:00 a.m. — a same-day turnaround from the July 21 posting. All bids must be submitted electronically through SORTA's e-Procurement Portal; bids in alternative formats are non-responsive.

The scope encompasses bus components for Gillig bus models 1200, 1300, 1500, 1600, 1800, and 8000 series, including windshields, panels, sensors, brake chambers, door assemblies, bumpers, seals, hoses, and valve kits. Quantities range from one to thirty units per line item. Bidders must quote exact OEM part numbers as specified; if substituting with a non-OEM or different part number, the alternate part number must be noted in the lead-time field in the format (RM#######). All pricing must be freight-inclusive and entered directly into the e-Procurement portal pricing table. Lead times must be stated in days only and reflect the time required to deliver the entire ordered quantity for each line item; "stock" quotes still require a lead-time notation in days. Any core fees must be separately identified in the Notes field. Bidders who do not carry a part must select "no bid" rather than submit a price.

Award will be made to the lowest responsive bid from a responsible bidder. Evaluation criteria include price, vendor character and integrity, compliance with affirmative action and Disadvantaged Business Enterprise requirements, financial resources, technical capability, delivery schedule capability, and past performance record. Quotes are valid for thirty days from submission. Direct inquiries to David Drummonds, Supply Chain Coordinator, at ddrummonds@go-metro.com or (513) 632-7548.

RFQ Bid Form Instructions

BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE

PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID

• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.

• Items of Importance:

  1. All quotes must have the freight included in the price.
  2. Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
  3. "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
  4. If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
  5. Enter any Core fee in the NOTES field located in the pricing table
  6. If you do not carry a part, please select "no bid."
