About this opportunity
The City of Buckeye, Arizona is requesting proposals for pump maintenance and repair services under RFP No. 32600260, with proposals due July 31, 2026 at 3:00 p.m. local time. The City intends to award up to three contractors based on established evaluation criteria. A pre-submittal conference is scheduled for July 8, 2026 at 10:00 a.m. via Microsoft Teams.
The scope covers quarterly preventive maintenance for pump systems at three facilities: Earl Edgar Recreational Facility Pumping Station (non-potable water), Sundance Park Phase 2 Pumping Station (potable and non-potable as applicable), and Canal Turnout Submersible Pumps. Maintenance tasks include visual and operational inspections, screen and strainer cleaning, pump and motor checks, computer and control system verification, meter inspection and calibration, and comprehensive documentation reporting. Repair services are provided as needed upon City authorization.
The contract term is one year with the option for up to four additional one-year renewals. The maximum contract value is $250,000. Pricing must be firm for the initial contract term; extension pricing is adjustable only through formal change order or renewal negotiation.
Evaluation criteria are weighted as follows: Company Profile and Relevant Experience (40 points), Method of Approach for Providing Services (40 points), References for Providing Similar or Same Services (10 points), and Pricing (10 points). Contractors must meet City of Buckeye standard insurance requirements, including Commercial General Liability with a $2 million general aggregate limit, $2 million Umbrella Coverage, Automobile Liability with $1 million combined single limit, and Workers' Compensation with statutory limits. Current licenses and permits are required, and detailed invoices must be submitted within 30 days of service completion.
Questions are due July 22, 2026 at 3:00 p.m. local time. The City reserves the right to reject any or all proposals and to negotiate exclusively with the highest-ranked contractor for 30 days before proceeding to subsequent ranked contractors if negotiations reach an impasse.
