About this opportunity
The City of Fort Worth is requesting proposals for Art Gallery Retrofitting and Installation services to support the Fort Worth Public Library on an as-needed basis under RFP 26-0267, with proposals due August 27, 2026. A 30% Small Business participation goal applies; vendors must submit Small Business Utilization forms and current certifications from recognized agencies.
Scope includes site assessments, removal of existing fixtures, wall preparation, installation of professional-grade hanging systems, display panels, shelving, lighting systems, and museum-quality display cases and pedestals at seven Fort Worth Public Library locations (East Regional, Vivian J. Lincoln, Summerglen, East Berry, Southwest Regional, Diamond Hills/Jarvis, and Sendera Springs) and nineteen City-owned community centers, with potential expansion to future facilities. Work will be issued through individual work orders and may be required during non-business hours, including evenings, weekends, and City-observed holidays, without additional compensation unless specifically authorized in writing. Pricing must be all-inclusive of labor, materials, equipment, tools, supervision, freight, delivery, travel, cleanup, disposal, permits, and inspections. The City reserves the right to request unit costs, individual project pricing, time and materials pricing, or pricing for optional services.
Optional services include custom exhibit fabrication, gallery space planning, exhibit design consultation, graphic design and production, wayfinding signage, lighting modifications, preventive maintenance, emergency repair services, and component replacement.
Evaluation is on a best-value basis: Cost (up to 15 points), Small Business Participation (up to 25 points), Ability to Meet City Needs (up to 25 points), Qualification and Experience (up to 20 points), and Approach to Perform Services (up to 15 points). Proposals scoring below 50% on non-price factors are deemed non-responsive. Vendors must demonstrate successful completion of similar scope and complexity within the past five years, provide references from public institutions, maintain appropriate licenses and insurance, and employ trained installation personnel experienced in professional gallery and museum display systems.
