About this opportunity
The University of Washington's Academic Strategy & Affairs department, in partnership with UW Information Technology, is issuing a Request for Information on Student Information System software solutions, with responses due October 16, 2026, by 11:59 PM PST. This is a market-research RFI, not a binding procurement — no obligation to contract is created, and submission is not required to participate in any future contracting opportunity.
The University seeks vendor information on product capabilities, architecture, licensing models, and implementation ecosystems to inform a potential future Request for Proposals. The RFI targets an institution of comparable size and complexity to UW, which serves approximately 64,000 students across multiple campuses and professional schools. Responses should address licensing models, typical cost ranges for comparable institutions, contract and implementation approaches, and design-partner or early-adopter engagement opportunities, limited to 15 pages. Questions are due September 17, 2026, by 11:59 PM PST. Submissions must be made through the University's Workday Strategic Sourcing website using reference number 1255311.
All responses will be treated as public records under Washington's Public Records Act following contract execution, though vendors may designate specific information as confidential or proprietary, except for pricing information. The University may request optional information review sessions or product demonstrations during evaluation, though participation is voluntary and will not factor into evaluation or prequalification.
Vendors responding must comply with the University's General Terms and Conditions, IT Security Terms (including cyber liability insurance of $2 million per occurrence and $1 million umbrella when compensation exceeds $25,000), Digital Accessibility Rider (WCAG, Section 508, and ADA compliance required), Data Processing Agreement, and confidentiality requirements. An OMWBE Response Form and minority/women's business enterprise certification documentation are required.
