About this opportunity

The New York State Police is issuing RFI-07292026 to gather vendor information on the feasibility of establishing a fleet parts catalog application programming interface to integrate with its Collective Quartermaster fleet management and inventory system, with written responses due September 9, 2026.

The RFI seeks a secure, standards-based API or automated synchronization solution that provides parts catalog information, pricing, inventory availability, and vehicle applicability across the NYSP's diverse fleet, which includes standard vehicles, boats, snowmobiles, utility task vehicles, all-terrain vehicles, and motorcycles. Respondents must address catalog breadth covering OEM and aftermarket parts, supported vehicle manufacturers, processes for adding new makes and models as the fleet evolves, and vehicle identification using VIN, year, make, model, engine, and trim level.

Responses must describe API standards and integration capabilities, data exchange formats, update frequencies, implementation timelines, company background and relevant experience, and itemized cost estimates identifying whether costs are one-time or recurring. Compliance with New York State Information Technology Security Policies and Standards and FBI Criminal Justice Information Services (CJIS) Security Policy compliance are required. Technical support must be available during standard business hours (Eastern Standard Time).

This RFI is explicitly a data-gathering mechanism only and does not constitute a procurement process. No contract awards will be made based on RFI responses; the State retains rights to use any ideas submitted. Respondents are encouraged but not required to respond without impact on their ability to participate in future competitive solicitations.

Submissions must be electronic in Microsoft Office or Adobe PDF format sent to twg@troopers.ny.gov with "Fleet Parts Catalog Platform RFI" in the subject line. Questions close August 12, 2026, with written responses to vendor questions provided August 26, 2026.

Opportunity text

The purpose of this Request for Information (RFI) is to gather information about the feasibility of establishing a fleet parts catalog application programming interface (API) to integrate with the NYSP's fleet management and inventory system, Collective Quartermaster. We are seeking a solution that provides secure, standards-based APIs or other automated synchronization of parts catalog information, pricing, inventory availability, and vehicle applicability. We are interested in understanding each vendor's ability to provide an electronic automotive parts catalog covering the makes and models of our existing fleet, while also providing flexibility as our fleet changes. Responses should describe the breadth of catalog coverage, including OEM and aftermarket parts, supported manufacturers, and the process for adding new vehicle makes, models, and part catalogs as the fleet evolves. To acquire an application programming interace that best meets the needs of stakeholders, the NYSP is seeking information from vendors and/or integrators who have the capability and experience to bring this type of project to a successful completion. NYSP will review all responses and use the information received from this RFI to assess the available options and solutions to make decisions regarding future competitive solicitations. This RFI is strictly a mechanism for gathering information and will not constitute a procurement process. No contract award(s) will be made because of this request. NYSP hereby requests written information, advice, comments, and recommendations from all interested parties that can provide a fleet parts catalog API, with catalog updates, and technical support services. The attached document outlines the broad areas of functionality. It is not intended to be a detailed description of every function needed, but rather to act as an overview of the main functions required. Please see the attached RFI-07292026 document and make note of the timeline dates. Any questions shall be directed to twg@troopers.ny.gov with "RFI-07292026 NYSP Fleet Parts Catalog Application Programming Interface" as the subject line. UPDATE: NYSP Responses to Bidder Question document has been added to the document section of this ad. REMINDER - RFI submissions are due by September 9, 2026.
