About this opportunity
The City of Pittsburgh Office of Management & Budget, on behalf of the Department of Parks and Recreation, is requesting quotes for rental services for the Track and Treat Event under RFQ #2026-RFQ-207, with responses due September 30, 2026 at 3:00 p.m.
The scope comprises event rental equipment: 40 white standard wood or plastic folding chairs, 50 eight-foot by thirty-inch banquet tables, and 18 white pole tents (fifteen 10' x 10', two 20' x 20', and one 20' x 30'), all requiring concrete or barrel installation with no sidewalls. The event is scheduled for Saturday, October 24, 2026 at the Bud Harris Cycling Track adjacent to Zone 5 Police Station. Equipment setup is required by Wednesday, October 21, 2026, and removal by Monday, October 26, 2026.
The maximum bid does not exceed $30,000. This is a one-time contract. Bidders must submit itemized pricing for chairs, tables, and tents as separate line items rather than lump sum invoicing. All shipping and delivery costs must be included in pricing, with purchase orders issued on an F.O.B. Destination basis. Payment terms are Net 45 days upon invoice submission containing the City Purchase Order number and pricing breakdown aligned with the awarded response.
Bidders must agree to the City's Standard Terms and Conditions, submit a completed Vendor Registration Form and W-9 Form, and provide contact information for purchase order delivery if awarded. The City reserves the right to reject any or all bids and will not award contracts to entities in arrears to the City or those with a history of unsatisfactory performance. Responses are submitted electronically through the specified procurement portal.
