About this opportunity

North Carolina State University is requesting quotations for purchase, service, and inspection of fire extinguishers across its campus properties, with quotations due September 24, 2026 at 5:00 PM and questions due September 16, 2026 at 12:00 PM.

The scope encompasses approximately 6,100 fire extinguishers on the main NCSU campus (North, Central, South, West, and Centennial locations) plus approximately 200 units at Reedy Creek and Lake Wheeler properties. Services include purchase of new extinguishers, inspections, maintenance, testing, recharging, and annual servicing compliant with NFPA 10 (2026 edition) and the North Carolina Building Code, Fire Prevention Section. The vendor must maintain daily electronic recordkeeping in the University's F-lnspect software, provide monthly service reconciliation reports with detailed documentation of all services performed, and submit monthly retirement recommendations for units exceeding the 80% cost threshold. The University estimates approximately 4,100 extinguishers requiring monthly inspections and 6,100 requiring annual inspections on the main campus.

Qualified vendors must provide three years of documented comparable experience with references, hold NCDOI licensing or approved entity status, and ensure all assigned technicians are NFPA 10 certified. No subcontracting of inspection services is permitted; all work must be performed by the vendor's W-2 employed personnel. The vendor must respond to emergency service requests within two hours during business hours (Monday–Friday, 8:00 AM–5:00 PM, excluding University holidays). All new extinguishers must be brand new and delivered within seventy-two hours from order date to the West Parking Deck staging location. The University maintains a dedicated backup stock and prohibits deployment of non-NCSU-owned loaner units.

The initial contract term is twelve months from award, with the University holding options to renew for up to four additional one-year periods, not to exceed five contract years total. Pricing is submitted on a unit-cost basis for purchases, recharging, hydrostatic testing, maintenance intervals, inspections, and miscellaneous parts and service charges. Quotations must be submitted via the Bonfire Public Portal. Evaluation criteria include technical response, vendor understanding of scope, personnel qualifications, references, and cost.
