About this opportunity

The City of Yuma, Arizona is requesting bids on overhead door and gate system maintenance and repair services under RFB-26-297, an indefinite delivery/indefinite quantity (IDIQ) contract, with bids due June 10, 2026.

The scope covers as-needed corrective maintenance, preventive maintenance, repair, and installation services for all City overhead doors and automated gate systems across multiple municipal facilities. Services include diagnostic and corrective repairs, component replacements (springs, rollers, cables, tracks, hinges, safety sensors, operators and motors, weatherseals), operator installation and calibration, emergency response, access control system integration, and full work documentation. All work must comply with manufacturer specifications and applicable industry standards including UL 325, ASTM F2200, ANSI/DASMA 102, OSHA 29 CFR 1910.147, NFPA 70 (NEC), and applicable IBC/IFC provisions.

The contractor must provide 24/7 availability with response times of 48 hours for regular service requests, 4 hours for emergency requests during business hours, and 2 hours for after-hours emergencies. Regular service hours are 7:00 a.m. to 6:00 p.m. Monday through Friday; after-hours service runs 6:01 p.m. to 6:59 a.m. Monday through Friday; and weekend and holiday service operates 24 hours daily.

Pricing is structured on three labor-rate tiers: Regular Rate (7:00 a.m. to 6:00 p.m. Monday–Friday, excluding holidays), After-Hours Rate (6:01 p.m. to 6:59 a.m. Monday–Friday, excluding holidays), and Weekend/Holiday Rate. All quotes must be itemized labor hours at City-accepted rates and materials at actual cost plus a bidder-provided uniform markup percentage applied across all components for the contract term and renewals. The specification document includes two project scenarios for detailed pricing: Scenario 1 (overhead door torsion spring and jackshaft operator replacement, four hours during regular business hours) and Scenario 2 (automated slide gate operator and safety sensor replacement, three hours after hours). For times and materials work, only actual hours on site are billable, with the City retaining verification rights. The contractor must procure parts at fair market value and deliver or properly dispose of salvaged materials per City direction.
