About this opportunity
University of Louisiana at Lafayette is requesting bids for food service equipment repair and maintenance services under an ITB with bids due July 29, 2026 at 2:00 PM. A dedicated CFESA-certified technician must be on-site two days per week (Tuesday and Thursday, 8 hours each) with ability to respond to emergency repairs within 48 hours.
The contractor must hold a Louisiana Mechanical Work and/or Refrigeration contractor license and provide proof of licensure, two reference letters from current clients, and a certificate of insurance evidencing Commercial General Liability coverage of at least $1,000,000 per occurrence and $2,000,000 general aggregate. The scope covers routine preventative maintenance and repairs on approximately 300 pieces of food service equipment across six campus dining locations — Student Union (including Smoothie King, Starbucks, Chick-fil-A, Dining Hall, Ball Room Kitchen, and McAlisters), Café Fleur de Lis, Jazzman's, Ragin' Cajun Food Court, Smoothie King in Bourgeois Hall, and Cox Dining. Equipment includes refrigeration, fryers, ice machines, dishwashers, ovens (combi, speed, convection), steamers, grills, griddles, kettles, and ranges. Preventative maintenance is scheduled semi-annually (June and December) and quarterly (January, April, July, and October) per detailed checklists in the specifications. Campus Food Services retains the right to contract outside vendors for repairs outside the PM agreement scope.
The initial contract term runs through June 30, 2027, with four optional one-year renewals at the same prices and terms by mutual agreement. Bidders must submit a total annual price for preventative maintenance inclusive of labor, materials, equipment, and transportation, plus separate hourly rates for regular, after-hours, and holiday repairs. Parts are subject to 25 percent markup above contractor cost plus freight. Warranties include minimum 30-day labor coverage and 90-day coverage on installed parts. All prices must remain firm through June 30, 2027. The University operates on Net 60 payment terms and is exempt from Louisiana sales and use taxes. Public bid opening occurs at 3:00 PM via Zoom.
