About this opportunity
Durham Technical Community College issued a Request for Proposal for combo snack and beverage vending machine services on March 27, 2026, with proposals due electronically by April 20, 2026, at 2:00 PM ET. The College seeks qualified, experienced, and sustainability-focused vendors to provide and service 17 existing combo vending machines and one beverage machine across four campus locations: Main Campus (1637 E. Lawson St, Durham, NC 27703), Duke Street North Campus (3414 N. Duke St, Durham, NC 27704), Northern Durham Center (2401 Snow Hill Rd, Durham, NC 27712), and Orange County Campus (525 College Park Rd, Hillsborough, NC 27278). The vendor must supply new or like-new combo vending machines equipped with credit/debit card readers compliant with PCI Security Council standards, UL approval, ENERGY STAR rating, and ADA compliance. Service requirements include stocking machines with a variety of carbonated beverages, non-carbonated beverages, functional beverages, water-based products, general snacks, and healthy snack options at minimum once weekly during business hours, with 24-hour response time for machine malfunctions during normal business hours. The College anticipates expanding vending services with the completion of Building 12 (estimated 6 combo machines by December 2027), Building 13 (estimated 2 combo machines by April 2027), and Orange County Campus expansion (estimated 1 combo machine by December 2026). Written questions must be submitted by April 6, 2026, with responses provided by April 13, 2026. The initial contract term is three years from the effective date or July 1, 2026, whichever is later, with two optional one-year renewal terms available at Durham Tech's discretion. Evaluation criteria are ranked in order of importance as Vendor Technical Approach, Vendor Qualifications, Vendor Experience and References, and Pricing.
Vendors must be registered with the North Carolina eVP (Electronic Vendor Portal) and possess a valid North Carolina Secretary of State registration. The vendor shall pay Durham Tech a commission based on gross sales minus North Carolina sales tax, with a minimum commission of 7%, and must submit monthly sales reports by the 15th of the following month, with a 5% late filing penalty for submissions after the 15th deadline. Failure to submit timely reports for two consecutive months or three months within any 12-month period constitutes grounds for contract termination. Proposals must include completed pricing forms (Attachment A), customer references (Attachment D), and financial certification (Attachment E), with failure to provide required attachments resulting in proposal elimination from consideration. No set-aside designations or restrictions on organization types responding to this procurement were specified in the available documentation. No incumbent vendor, current contractor, or budget range information was disclosed in the RFP materials.
