No pre-bid meeting is scheduled; all questions must be submitted via the Procureware platform at https://tra.procureware.com.

The scope comprises thirty-one line items across bearings, sprockets, chains, clutches, gearboxes, sheaves, and V-belts from specified manufacturers including Dodge, McGill, SKF, Browning, Martin, and Winsmith, with quantities ranging from 1 to 100 units per item. Bidders must specify average and maximum delivery times for standard orders and emergency/rush order delivery times with associated costs. The contract term runs one year, December 1, 2026 through November 30, 2027. Pricing must be entered into the Procureware Pricing Tab with unit prices also noted on the Bid Specification Form; Procureware pricing prevails in case of discrepancy. Prices are quoted Delivered Place Unloaded and must remain firm for the entire contract period without unlimited escalation. Purchases are exempt from Texas sales tax and federal excise tax.

Required documentation includes the Texas Resident Bidder Certification form, Conflict of Interest Questionnaire, and TGC 2270 Israel boycott certification (for bids of $100,000 or more, which must be notarized). All bidders must provide letters confirming authorized representative status for each listed manufacturer. Payment is made within thirty days of invoice receipt provided invoices include valid purchase order numbers. No restocking charge applies for wrong stock items returned to the successful bidder. Trinity River Authority reserves the right to evaluate bids as a whole, by group, or item-by-item and may reject all bids or purchase through the State of Texas Cooperative Purchasing Program if advantageous.
