About this opportunity
Edgecombe Community College, a North Carolina state agency, is soliciting quotes for modernization and replacement of audio-visual controls, processing, and console equipment in the Keihin Auditorium at its Tarboro campus under RFQ #95-ECC07302026, with sealed quotes due September 9, 2026 at 2:00 PM EST and a mandatory pre-bid site visit on August 19, 2026 at 2:00 PM EST.
The scope comprises six primary line items: Allen & Heath SQ digital mixing console with expanders and networking capabilities; Q-SYS audio processing and AV system control equipment including dual-core processors, touchscreen controls, and I/O modules; eight-channel digital wireless microphone systems with handheld and bodypack transmitters; d&b Audiotechnik loudspeaker systems with amplifiers and rigging; eight-station Hollyland wireless intercom system; and labor, installation, logistics, freight, equipment rental, rigging, and employee training. Integration with iPad control and newly updated lighting is required.
Vendors must be registered in good standing in North Carolina through the electronic Vendor Portal (eVP) and must provide authorized reseller documentation from manufacturers, three customer references, and proof of required certifications: Dante Certification, ETC Authorized Service Provider status, Q-SYS Level 2 Certification, ETCP Certified Rigger, and North Carolina-licensed electrician with unlimited classification. Financial stability certification is mandatory. All pricing must be FOB Destination to Edgecombe Community College in Tarboro, with delivery not considered complete until installation is finished. Warranty coverage must be a minimum of twelve months or the manufacturer's warranty, whichever is longer, covering all defective parts, labor, freight, and technician travel at no cost to the State.
Award will be made to the responsive bid offering the lowest price meeting all specifications; the State reserves the right to make separate awards to different vendors for individual line items or to cancel the solicitation. The resulting contract will have an initial six-month term from the date of final execution. Written questions are due August 26, 2026 at 12:00 PM EST, with responses provided by September 2, 2026. Vendors must complete all required attachments, including pricing forms, HUB participation information, customer reference forms, financial condition certification, and worker location documentation; failure to return required attachments may result in quote elimination.
