Vendors must submit current insurance certificates, complete a Felony Conviction Notification form, and acknowledge compliance with Texas disclosure requirements, including Form 1295 if the contract value exceeds $1 million.

The contract term is twelve months from acceptance and approval, with the City holding options to extend for four additional one-year terms under the same conditions. Bid prices must remain firm for a minimum of 90 days following bid opening and for the full contract duration once awarded. The City may award contracts to multiple qualified vendors and will distribute purchases based on pricing, availability, and ability to meet specifications and delivery requirements. The City is exempt from federal excise, state sales, and transportation taxes.
