Is there a maximum radius from Arlington or must it be in Arlington city?
Hotel should be within 15 minutes ride from the airport.
Request an extension of at least one day to Friday, Nov. 2.
No.
In the PWS it says the rooms are 260 double occupancy rooms for 11/16-18, 2 nights. Will you be able to provide how many will have husband and wife so we can offer a king bed and if any must have two separate beds? It refers to family but does not really mention kids.
CLIN 0001 - Attendees – 260 Rooms are needed for 2 nights = Total quanity of 520 each (estimated).
IAW PWS 1.4.1. a final number of actual sleep rooms will be provided the Tuesday prior to the event.
Can you confirm the total number of rooms? IAW PWS 1.4.1. a final number of actual sleep rooms will be provided the Tuesday prior to the event.
In the CLIN 0001 for attendees with 260 total rooms (130 families x 2 nights?) if up to 400 attendees, could this possibly be more guest rooms needed?
Updated. See above for CLIN 0001.
In the CLIN 0002 advanced party staff you have 49 but in the PWS it says 25 x 3 nights which would be 75
Updated.

In the CLIN 0003 RD core staff you have 11 but in the PWS it shows 6 rooms for 5 nights which should be
IAW PWS 5.1.1.2, the correct number should be 30 (6*5). Refer to PWS 5.1.1.2.
CLIN 0003 – RD Core Staff - 6 Rooms are needed for 5 nights = Total quanity of 30 each.
Are you anticipating the need of approximately 130 rooms per night for line item 1, to equal 260? If estimated attendees of 250-400 (in 5.1.1.1) is followed, that number should be different. Of course, we realize there are commuters. Please clarify.
IAW PWS 5.1.1.1, families will share a room.
5.1.1.2 estimates 105 nights for staff and advanced party, but quantity in CLINS 0002 is 49 + 11 = 60.
Please clarify
Updated. See above for CLIN clarification.
5.1.2.1 states one general session and 6-8 breakout rooms and a staff ops and staff prep room. Do the 6-8 breakouts include the 4 parlor style rooms, exhibitor, and meal room?
No, however the meal room and general session are the same.
What is the minimum amount of people and set-up needed for each breakout room?
EST 75 people per breakout room.
5.1.2.1 states all rooms should have 10x10 screen and projector? Do you need that in the parlor rooms, exhibitor, and meal room?
The General Session room and 6-8 break-out rooms require a 10x10 screen and projector. The Parlor and exhibitor rooms do not require a screen or projector.
Do you not need childcare rooms? No childcare rooms are needed.
Are the parlor style rooms counseling rooms? Yes IAW PWS 5.1.2.4.
Will you consider dates in December? No
