About this file
This is a Request for Proposal (RFP) issued by the Contra Costa County Public Works Department for Sign Printing Equipment. The county seeks to acquire a comprehensive sign printing system, including a wide format digital printer, vinyl cuter, flatbed applicator, laminator, and vinyl rack system. The RFP was released on September 3, 2025, with proposals due on October 3, 2025, by 3:00 PM PST. The contract includes delivery, setup, hardware and software installation, technical support, and training. The county currently prints approximately 32 signs per week and aims to replace its existing equipment to increase efficiency and improve production quality. The initial contract term includes three years of preventive maintenance and on-call services.
The pricing will be firm and fixed for the contract duration, with vendors required to submit detailed pricing for each equipment component and services. The county has specific local business preferences, offering a potential seven percent bid adjustment for local vendors meeting certain criteria, such as having a principal place of business in Contra Costa County for at least six months. The total project is valued at an unspecified amount, with the county reserving the right to award all or part of the contract to multiple bidders. Vendors must provide comprehensive documentation, including business licenses, insurance certificates, references, and technical specifications. The county will evaluate proposals based on qualifications, project understanding, personnel experience, and references, with the potential for interviews and best and final offer (BAFO) negotiations.
