Request for Information (RFI) Federal Deposit Insurance Corporation (FDIC) Virtual Event Management Platform (VEMP)
1.0 High-Level Summary/Future State
This RFI is associated with the FDIC’s need to obtain an innovative, cloud-based IT solution for an all-in-one event platform that supports in-person, hybrid and virtual events and conferences. This solution must support FDIC event needs, be user-friendly, and comply with FDIC security requirements and Section 508 of the Rehabilitation Act.
The Contractor must have depth, breadth and experience in providing event technology to support a wide range of in-person, virtual and hybrid events that involve domestic and international participants.
We are primary interested in a solution that will support the following:
· Ability to conduct 400+ events with up to 10,000 participants.
· FDIC-hosted events that may be conducted in-person, virtually or in a hybrid format.
· FDIC events include, but are not limited to, public outreach events, conferences (small and large), forums, symposiums, town halls, training sessions, fairs and special programs (i.e. Annual Awards Ceremony, etc.).
FDIC is looking for a commercially available solution to modernize and automate its event management lifecycle.
2.0 Background/Current State
FDIC sponsored events and conferences are a key component to fulfilling FDIC’s mission. On average each year, the FDIC hosts 500+ events, including public outreach events, conferences, forums, symposiums, town halls, training sessions, fairs and special programs, with up to 10,000 participants. These events may be conducted in-person, virtually or in a hybrid format.
Currently, the FDIC uses several software tools to manage, market and host virtual events, including conferences and public outreach events. Lack of integration among existing tools limits the FDIC’s ability to effectively and efficiently conduct large-scale and/or hybrid events. Existing tools also offer limited functionality such as concurrent multi-track training sessions, attendee experience tracking, expanded analytic reporting, and a virtual exhibit component for a conference type virtual event.
FDIC is looking for a commercially available solution to modernize and automate its event lifecycle. The ideal solution will provide FDIC with the ability to:
1. Host hybrid events seamlessly in support of FDIC’s Return to Office/hybrid work environment;
1. Use a single, scalable, reliable, and integrated platform for events, reducing the need for workarounds and troubleshooting to address technical difficulties;
1. Conduct events that are accessible and comply with Section 508 of the Rehabilitation Act;
1. Effectively utilize the IT equipment in the renovated Virginia Square training center, auditoriums, Virtual Outreach Center (VOC), and eventually regional/field offices as they are renovated;
1. Centrally collect and analyze metrics on all aspects of event management (costs/trends/performance), allowing the FDIC to better plan for and manage events; better forecast costs and trends; and improve the customer experience;
1. Better communicate and share information about FDIC events across Divisions and Offices, allowing for more consistent branding with the public and coordination among internal stakeholders; and
1. Ensure that security and privacy requirements are met.
