About this file

This is a pricing schedule exhibit for the 2026 OSRC Biannual Employee Workshop, a contract opportunity with the State of Minnesota Department of Transportation. The workshop is scheduled for October 21-22, 2026, and requires lodging accommodations for approximately 80 single occupancy rooms and 5 double occupancy rooms with check-in on October 20-21 and check-out on October 21-22. The venue must provide conference facilities including a general session room equipped with stage, podium, risers, tables and chairs for 100 attendees, two LCD projectors with wireless presenters, two large screens, audio equipment including microphone systems and mixer, signage easels, electrical access, and Wi-Fi connectivity. Catering services are required for breakfast, lunch, afternoon break, dinner, and all-day beverage service for approximately 100 attendees across the two-day event. The responding contractor must complete the pricing schedule exhibit along with Attachments A, B, C, and D to be considered for this all-or-none award.

The facility must be located within 25 miles of either the MNDOT Training Facility in St. Cloud (3725 12th Street N) or Baxter (7694 Industrial Park Road), Minnesota, with lodging, conference, and parking facilities within one-quarter mile of each other, or the contractor must provide shuttle services at no additional cost to the State. All pricing for lodging, meals, meeting room charges, audio-visual equipment, and ancillary services must be itemized on the pricing schedule with firm prices that will not be adjusted based on final attendance numbers. The pricing schedule includes sections for cancellation fee structures differentiated by notice period, with separate fee schedules for general services and lodging cancellations. The State guarantees no minimum number of rooms or meals and reserves the right to select a facility based on cleanliness, maintenance standards, and location compliance.
