Statement of Work for Ivanti Service Manager Professional Services

Background:

US Navy - NAWCAD (“Customer”) has requested the Ivant Certified Consultant (“Consultant”) to provide days of Ivanti Professional Services consultancy on a time and materials basis as defined in the following Statement of Work (“SOW”). The vendor resources assigned to this project will be under the direction of both Ivanti Project Management and the Customer Project Manager.

This engagement will focus on the design, configuration and implementation of a highly developed Service Request workflow within Customer’s Ivanti Service Manager (“ISM”) instance to replace Customer’s existing externally hosted Integrated Move Management Workflow Website.

An initial analysis of customer requirements was done by Ivanti Professional Services to determine overall feasibility of creating a functional replacement of the existing solution based on Customer provided documentation.

This solution is not intended to be a like-for-like feature replacement of Customer’s existing solution.

Consultant will implement the solution using framework, specifications, and configuration changes mutually agreed to during an interactive planning and design workshop.

Appendix A: IMM Functionality summary and related responses Customer provided the following Specification around functionality that they were either unsure of how to implement in ISM or were not possible within the ISM Portal framework. As well as Ivanti Professional Services Responses to the document

“IMM and Planned Functionality Notes”

Site Access Users with active NHDSM profile where EDIPI (passed by BigIP header) matches NHDSM profile, and where user has view of IMM Request Offering (ORG Unit based on Site) IMM website has ability to look at the “Site” in the profile and allow access to move forward. NHDSM would restrict the request offering based on a “View” ability. Someone HAS to maintain who has that view. This is an account management process in NHDSM whereas IMM website is an automated check.

Person Move

Once Person Move is selected, the drop down box allows us to select Move Existing and the site displays:

NOTE: the user guide can be located in Knowledge and easily accessible to self service

NHDSM Request Offering would be specifically for IMM, as other items like Equipment Moves would fall under the Desktop Voice request offerings. NHDSM request offerings have the same ability to ask if the request is for that end user or someone else.

If “Someone Else” is selected and that profile does not exist, IMM site is able to collect all that information and write it to the database when it writes all other data to the database for the move request. NHDSM cannot submit a request without an employee record already existing and tie it to that employee. It would only exist in the requestor’s name.

Concern: NHDSM cannot move forward in the IMM request offering if their profile doesn’t exist, end user would have to cancel that request, go to the create/update profile request offering and complete that before being able to proceed with IMM request. This is mostly an inconvenience to end users and they may complain about having to cancel, create a profile for a user, wait for that profile to have the correct view/roles, and then attempt to enter the request again.

Will have to look into how to redirect user to new profile request – through red alert text box. IMM currently does it by providing a link to create a profile. Have question open with support regarding custom error

Moving From and Moving To locations in IMM website are based upon many constraints beginning with Employee Group and then including: Employment Organization, Employment Competency, Site, Building, Floor, Room, Cube. The result is a specific Space ID. This is aligned to the resulting Cube selected and there could be more than one space for a cube selection. IMM website has floor, room and cube as either validated lists (if tenant owned building) or as free text fields (nontenant owned) while NHDSM can only have one or the other – cannot alternate validated list or free text field for the same building – must be one or the other. This would have to be a validated list in NHDSM, unsure of level of impact to end users that are non-tenant.

NHDSM has not successfully been able to apply multiple constraints. This is something that works fine within “Incident” such as detail screens, but Service Requests treat webforms differently and constraints on these webforms do not function the same. Have been working with support, they have another customer with the same issue and no ideas how to resolve at this time.

IMM is able to open FloorPlan viewer in the same window, allow a user to select a visual space and that location information and space ID are then automatically entered on the IMM website.

CONCERN: NHDSM is able to provide a hyperlink to a website that can open in a window, but nothing that occurs in that window can populate fields on the NHDSM website. Vendor had previously stated this could not be done. Reached out to vendor to determine if this could be done with custom code via professional services engagement. They stated we could request this type of functionality for a future version or PS engagement, but no timeline on the development of this type of functionality in either scenario.

IMM website validates that users existing space is tied to their profile and APM data – if what is entered is not correct, an error pops up. Unsure of the ability for NHDSM to query a table and have a pop up error to end user. Have this question open with support

IMM website calendaring allows ability to remove weekend and holidays as well as set the date no less than 10 days from current date. NHDSM will allow setting no less than # days – but does not remove weekends or holidays. Have question open with support

IMM website will perform calculation on seat count, seat occupancy from tables, but will also query all open tickets for any moves to or moves from for that space id. NHDSM can perform table lookups within the request offering, but cannot also query open requests and then combine that data and perform calculation after the query. The calculation would have to already be in a table that is loaded in the request offering. Unsure of the level of effort to perform this and maintain tables.

NHDSM does not appear to have the capability of pop up messages that allow two separate actions in Request Offerings. Have question open with support

The upcoming release of IMM includes the ability to “Seat” someone such as on-boarding. If that person is already mapped to a seat in APM, IMM will give an error and have them redirected to IMM for a Move. This is a new service that NHDSM did not have in the development pipeline – but the concern here is that NHDSM would have to have that field fed into the request as soon as it is selected, and then the workflow could perform a check on that field – NHDSM cannot query a table after a request offering is already in progress. Unsure of the time it would take to create the large table and maintenance of these tables via the DataWarehouse

There are field requirements such as “NMCI Computer Name” that indicate letters and numbers in certain positions of the field – NHDSM can specify field length and overall character/numeric requirements, but not position within the field. Have question open with support, but does not appear to be a feature at this time.

Registered in the System for Award Management (SAM) means that--

(1) The Contractor has entered all mandatory information, including the unique entity identifier and the EFT indicator (if applicable), the Commercial and Government Entity (CAGE) code, as well as data required by the Federal Funding Accountability and Transparency Act of 2006 (see subpart 4.14), into SAM;

(4) The Government has marked the record ``Active''.

System for Award Management (SAM) means the primary Government repository for prospective Federal awardee and Federal awardee information and the centralized Government system for certain contracting, grants, and other assistance-related processes. It includes—

(1) Data collected from prospective Federal awardees required for the conduct of business with the Government;

(3) Identification of those parties excluded from receiving Federal contracts, certain subcontracts, and certain types of Federal financial and non-financial assistance and benefits.

Unique entity identifier means a number or other identifier used to identify a specific commercial, nonprofit, or Government entity. See www.sam.gov for the designated entity for establishing unique entity identifiers.

(b) If the solicitation for this contract contained the provision 52.204-7 with its Alternate I, and the Contractor was unable to register prior to award, the Contractor shall be registered in SAM within 30 days after award or before three days prior to submission of the first invoice, whichever occurs first.

(c) The Contractor shall maintain registration in SAM during contract performance and through final payment of any contract, basic agreement, basic ordering agreement, or blanket purchasing agreement. The Contractor is responsible for the currency, accuracy and completeness of the data within SAM, and for any liability resulting from the Government's reliance on inaccurate or incomplete data. To remain registered in SAM after the initial registration, the Contractor is required to review and update on an annual basis, from the date of initial registration or subsequent updates, its information in SAM to ensure it is current, accurate and complete. Updating information in SAM does not alter the terms and conditions of this contract and is not a substitute for a properly executed contractual document.

(d)(1)(i) If a Contractor has legally changed its business name or ``doing business as'' name (whichever is shown on the contract), or has transferred the assets used in performing the contract, but has not completed the necessary requirements regarding novation and change-of-name agreements in subpart 42.12, the Contractor shall provide the responsible Contracting Officer a minimum of one business day's written notification of its intention to--

(A) Change the name in SAM;

(B) Comply with the requirements of subpart 42.12 of the FAR; and

(C) Agree in writing to the timeline and procedures specified by the responsible Contracting Officer. The Contractor shall provide with the notification sufficient documentation to support the legally changed name.

(ii) If the Contractor fails to comply with the requirements of paragraph (d)(1)(i) of this clause, or fails to perform the agreement at paragraph (d)(1)(i)(C) of this clause, and, in the absence of a properly executed novation or change-of-name agreement, the SAM information that shows the Contractor to be other than the Contractor indicated in the contract will be considered to be incorrect information within the meaning of the ``Suspension of Payment'' paragraph of the electronic funds transfer (EFT) clause of this contract.

(2) The Contractor shall not change the name or address for EFT payments or manual payments, as appropriate, in the SAM record to reflect an assignee for the purpose of assignment of claims (see FAR subpart 32.8, Assignment of Claims). Assignees shall be separately registered in SAM. Information provided to the Contractor's SAM record that indicates payments, including those made by EFT, to an ultimate recipient other than that Contractor will be considered to be incorrect information within the meaning of the ``Suspension of Payment'' paragraph of the EFT clause of this contract.

(3) The Contractor shall ensure that the unique entity identifier is maintained with the entity designated at www.sam.gov for establishment of the unique entity identifier throughout the life of the contract. The Contractor shall communicate any change to the unique entity identifier to the Contracting Officer within 30 days after the change, so an appropriate modification can be issued to update the data on the contract. A change in the unique entity identifier does not necessarily require a novation be accomplished.

(e) Contractors may obtain additional information on registration and annual confirmation requirements at https://www.sam.gov.
