Questions/Answers and Clarifications
Clarification: “This work shall be performed during normal working hours of the tenant. As a convenience and courtesy to the building’s tenants, all work is to be performed with as little noise, disruption or interference as possible in the tenant’s daily operations. (After-hours/weekend work may be applicable).”
o Work will be in conjunction with and concurrent to the physical move of the agency to the new location. Relocation of personal items (other than high-density file system and contents) will be covered under separate solicitation/contract.
o Offerors shall provide pricing based on:
Work being performed during normal working hours of tenant (8:30 a.m. – 5:30 p.m. Monday through Friday) Work being performed after-hours or weekends (after 5:30 p.m. and between 8:30 a.m. and 5:30 p.m. Saturday and/or Sunday).
Will space to stage files be provided?
o Yes. Space to stage files for continued accessibility and security will be provided at both the origin and relocation destinations. Files must be kept in exact order as currently on shelves and identified so that agency may have access to them at all times during project duration.
Clarification: Security of files when actually being moved.
o Files must be secured in some fashion (i.e. boxed or shrink wrapped) for secure relocation to new facility and installation on shelves in new location.
Will the rails and flooring for the high-density file system be relocated and re-used?
o No. The expectation is for new railing/flooring for the system.
Will current rails/flooring need to be removed and disposed and will any damage to primary flooring need to be repaired and to what extent?
o Please offer pricing based on the current/old rails remaining without removal or disposal being necessary.
Clarification: “The contractor shall submit a proposal for adding six (6) additional carriages to integrate with the existing Spacesaver file system for expansion; as well as upgrading/ replacing/ and reconfiguring any inoperable controls.”
o It has been identified that the current high-density file system is too tall (at 88 ¼”) for the new location. Therefore, it will be necessary to cut them down which, in turn, will result in shelving that is now “excess”.
o It would be appropriate for these “excess” shelves to be incorporated into any additional carriages.
o There are ten (10) controls for the system which was installed in 1999. Some of these controls are operating sluggishly or not at all.
o Offerors should propose two prices:
One price would be based on replacement/upgrading of all controls.
One price would be for the repair/replacement or upgrading of only those units requiring repair/replacement or upgrading.
As it cannot be known until units are dismantled whether or not controls and/or motors need to be replaced, offerors shall provide pricing for individual components that may need to be replaced.
Additional Requirements:
o Offerors shall provide estimated time duration for each phase of project.
o Warranty Information: Offerors shall advise of any warranties that are conveyed with any new equipment or components.
Note: Architectural drawings are not available for new space at this time. However, it is anticipated that the current units/carriages after alteration plus six additional carriages will fill the space available.
