STATEMENT OF WORK: REPLACEMENT OF COMPONENTS FOR NMUSAF FILM VAULT

PURCHASE REQUEST NUMBER:

This contract is for the replacement of major climate-control components for the NMUSAF Film Vault – the Dehumidifier/Air Dryer, the Reverse Osmosis (RO) System, and three Atomizers. To preserve the unique and irreplaceable photographic materials, the Film Vault must maintain a constant environment or 40 – 45 degrees Fahrenheit and a Relative Humidity of 35% - 40%. The interior dimensions are 40’L x 32’W x 9.5’H. The photographic materials are housed on electric high density moveable shelving. The Vault has two doors. Air is vented to the outside to prevent buildup of film emitted gases. Two redundant HVAC Systems alternate operation to ensure even usage and automatically switch over to the operable system in case a failure occurs. The RO System provides filtered water needed for humidification and the atomizers distribute the filtered water in a measured and accurate method when the environment is too dry. The Dehumidifier/Air Dryer removes extra humidity from the air. Accurate operation of all three components enables the environment to maintain 35%-40% Rh. All components have exceeded their life expectancy.

The dehumidifier/air dryer component of the system has failed, and we have been told by the original installer that the unit and replacement parts are no longer made necessitating replacement of the entire component. The RO System has also failed and must be replaced. The Atomizers are failing and must be replaced. These units must be replaced with industrial grade units capable of providing the required strict environmental control specifications.

Work is to be done during normal Monday thru Friday workday hours (0700-1530). Contractor must contact POCs, in advance so that they can arrange a base pass and confirm that the proposed date of work is available. In addition, the Film Vault is located in a secure building and all contractors must be signed in, badged daily, and adhere to all security rules. They must arrive and depart according to a schedule prearranged with the POC.

Estimation of work detail is as follows:

The existing RO System, atomizers, and dehumidifier/air dryer will be removed and the new ones installed. This will be done with minimal interruption to the strict environmental balance of the Film Vault environment.
