Sheppard AFB NCOA Auditorium A/V Upgrade

SUMMARY OF QUESTIONS AND ANSWERS

1. Q: We will need to take out some of the seats to get a lift in. Is this something down to us?

− The contractor may remove and reinstall seating as needed. The contractor shall be responsible for any removal, storage, and reinstallation.

2. Q: Can you be explicit about the names and room numbers of the rooms encompassed by this project. We are a bit lost.

− See attachment #5.

• Room 1095 – Large Auditorium (Main Auditorium) o Room 1100A – Large Auditorium projection room in the rear behind the screen o Room 1100 – This is the conference room aka “Green Room” that will be used for distinguished visitors.

• Room 1096 – Small Auditorium that currently has no AV system. (Auxiliary Auditorium) o Room 1098 – Small Auditorium small projection room

3. Q: We need dimensions width, length height of the various rooms. In the main auditorium I realize this is perhaps a bit difficult.

− See attachment #5 for detailed map

4. Q: Can we please have salient performance requirements for each room so we can give you the best solution?

The basic concept is for guest speakers to speak to an audience of approx. 320 personnel (room 1095). Approx. 200 personnel in room 1096. Some videos will be play via DVD player, internet webcast, zoom, Microsoft Teams, etc. Slideshows, videos, etc. will be the main presentation platform. Sometimes movies will be played via streaming media, DVD, external hard drive, etc. Will require versatile hookups between VGA, HDMI for multiple ways of media connection. See the SOW for additional information.

5. Q: Do you need a loudspeaker in the Green room?

Contractor shall ensure TV in green room displays live feed from main auditorium, with both audio and display in sync.

6. Q: What is to be done with the side screens and projectors in the small room?

Side Screens shall stay in place undisturbed in Room 1096 (Small Auditorium).

Projectors in Room 1096 (Small Auditorium) shall be removed by the Government.

7. Q: Does equipment need to be TAA compliant? (Only US made or certain “designated country” end products

All items shall be compliant with the provisions of 252.225-7000 and 252.225-7001 of the RFQ.

8. Q: In Room 1095 will Government reuse projector?

No, projector is not in working condition. Contractor shall provide a new projector. The Government will be responsible for disposal of current, non-functioning projector.

9. Q: Can equipment and monitors have WIFI?

Yes, monitors may have Wi-Fi capability. We will not worry about the classified briefing requirements at this time. That requirement may drive us past our budget and may add time we do not have to the whole process.

10. Q: Does anything need to be replaced in the Green Room (conference Room 1100)?

New Monitor, add wall plate etc.

Replace existing mounted TV in green room with new TV to ensure connection with system for audio and video. Also replace camera at the back of the large auditorium to that can be controlled from console and projects to green room monitor and will allow for viewers to login to some streaming platform to watch from locations other than Room 1095.

11. Q: What type of lighting system is currently in use? Need to know the lights type, driver, load, Model # of driver?

The software system in use currently is AMX. See attachment #5 for most up-to-date information at Government’s disposal.

12. Q: Will government consider alternative proposals to replace rear projection screen and projector? Video Wall etc. Room 1095

See the provisions of clause 52.204-22 Alternative Line Item Proposal in the RFQ.

13. Q: What is the model name of the GFE Projector in room 1095 to reuse?

GFE Projector will not be repurposed/reused as the projector is inoperable. There will be no Government Furnished Equipment as defined in FAR 45.101.

14. Q: Room 1096 has other screens and projector mounts, will anything be done to troughs?

Screens on west wall shall remain in place and operational along with current projector mounts. The contractor shall make changes to the troughs as necessary. Changes to the troughs shall not disable or otherwise interrupt capabilities of equipment designated to remain in place.

15. Q: Can you please detail the light fittings to be replaced in each room; quality of each type.

- Per guidelines outlined in the Statement of Work (SOW), the lights shall interface with the AV control system and be dimmable in different zones depending on the ceremony and controlled via touchscreen platform. See SOW 3.2, 3.3.22, 3.4.5, 4.1, 4.1.1.15, and 4.2.1. Note: items are “brand name or equal.

− Lighting in the large auditorium (room 1095) is separated into 8 zones. Stage soffit (canned lights), Stage track lights, Overhead cans, Overhead (4’ fluorescent lighting), sconce lighting on the sides (4 sconces total), Front of Hall (FOH), Foyer Wall, Foyer.

− Need would be for the customer to have a selection of preset buttons to be able to reprogram at our need. Currently have the option of 6 to preset, minimum would be 4 preset options.

− Stage soffit is separated into three sections stage left (3 canned lights). Center (3 canned lights), and stage right (3 canned lights). Each set of 3 dimmable separately. Currently use dimmable LED bulbs

− Stage tracks are also separated into three sections, Stage left (2 track lights), center (5 track lights, and Stage right (2 track lights). Each separate section dimmable separately Currently using X watt dimmable LED bulbs

− Overhead Cans are 45 canned lights covering seating area of auditorium.

Currently use X watt dimmable LED bulbs

− 19 Overhead fluorescent light fixtures (2 bulbs each) are all standard 4 foot fluorescent type bulbs. That are either on or off.

− Sconce lights are two sconce light fixtures on each side of the auditorium for a total of 4. These are also either on or off with 15 watt CF15EL bulbs

− Front of Hall (FOH) is the 1 canned light directly above the back of the auditorium control center and 1 canned light above each small stair case in the back of the auditorium for a total of three.

− Foyer is the 6 canned lights down the center of the foyer.

− Foyer Wall is 6 canned lights that part of the front (3 lights) and back wall (3 lights) of the foyer in the back of the room.

− Foyer and foyer wall can be combined to one zone to be controlled the same.

− The small auditorium Room 1096, has a similar lighting set up. This room is set up to be split into three separate rooms with two dividing walls that fold to make one big room. The back of each room if they were separated was once made to be the sound and video control for each divided room. There is one canned light above each of those 3 sections. The video and sound for each divided section not used, only main audio visual for entire room.

• 9 stage soffit canned lights

• 12 each four foot fluorescent light fixtures

• 30 canned lights above main floor

• 1 sconce light

• 2 canned lights above control panel
