About this file

This is an Addendum No. 1 issued by The Texas A&M University System Office of Procurement & Business Services on June 30, 2026, extending the deadline for RFP-01-ESS-26-252 for an Environmental Health & Safety Records Management System. The RFP originally due July 8, 2026, has been extended to July 30, 2026, with proposals to be submitted electronically via email to soprocurement@tamus.edu by 2:00:00 p.m. Central Time. The revised calendar establishes a deadline for submitting questions on July 13, 2026, with an addendum release scheduled for July 21, 2026. The evaluation of proposals and anticipated award date remain to be determined (TBD). The system will serve approximately 175,000 students across the A&M System's 12 universities, health science center, eight state agencies, and other member institutions. The contract includes an initial three-year term with options to extend for two additional two-year terms under mutually agreed conditions.

The RFP requires respondents to acknowledge receipt of this addendum on the Execution of Offer (Exhibit A). All responding vendors must submit a completed subcontracting plan demonstrating good faith efforts to recruit certified VetHUB (service-disabled veteran-owned small business) subcontractors, with a 2% subcontracting goal applied to contracts valued at $100,000 or more over the contract lifetime. Pricing proposals must detail implementation fees, professional service costs, annual recurring license or subscription fees with specified pricing metrics, and any additional charges for customization, along with identified incentives or price breaks for multiple member engagement and alternate term lengths. Vendors must provide three client references from the past three years, preferably including at least two from higher education institutions or public/private sector entities. Insurance requirements include workers' compensation, commercial general liability ($1 million per occurrence / $2 million aggregate), auto liability ($1 million), excess/umbrella liability ($5 million), and cyber liability ($2 million). TX-RAMP certification is required if the product qualifies as a cloud computing service, with certification evidence or ID due at least 30 days prior to agreement start. Individual A&M System members will pay through negotiated order forms under the resulting master services agreement.
