About this file

This is a scope of work and equipment specification document for the City of Columbus, Ohio Police Division's Felony Assault Unit seeking to procure a multifunction printer system with associated maintenance and support services. The procurement calls for one Canon iF C5140 multifunction device or an equivalent alternative product, specified to the Felony Assault Unit located at 120 Marconi Boulevard, 5th Floor, Columbus, Ohio 43215. The Canon iF C5140 is a 40 images-per-minute black and white and color device featuring Energy Star and EPEAT Gold certification, a 10.1-inch customizable LCD color touch screen, advanced scanning capabilities including network scanning to various formats, mobile device printing, and enhanced security features including SSD data encryption and firmware integrity verification. The procurement includes delivery, installation, startup supplies, and training at the specified location.

The contract consists of three line items: the multifunction printer equipment itself; six months of maintenance, parts, and supplies maintenance agreement priced as cost-per-copy for black and white printing, with an estimated monthly volume of 2,000 black and white copies per machine; and six months of maintenance for color printing at cost-per-copy pricing with an estimated monthly volume of 2,000 color copies per month. The maintenance agreement covers all parts, labor, emergency calls, travel time, mileage, regular inspections, preventive maintenance, equipment modernization, and free loaner equipment, with a guarantee requiring confirmation calls within 30 minutes and on-site technician response within 4 business hours. Maintenance is billed monthly in arrears with no minimums or maximums and no charges for scans. The City intends to enter a 36-month agreement funded on a year-to-year basis through purchase orders as funds become available. This procurement is funded by the State of Ohio Equitable Sharing Program, and bidders must be registered and in good standing with the Ohio Secretary of State or qualify for an exemption under ORC Chapter 1703.02, with no unresolved findings from the Auditor of the State of Ohio.
