2. Describe how your firm determines project deliverables. Also, describe your proposed team’s general approach to managing the assigned on-call projects of various sizes and complexity.

3. Are you familiar with Job Order Contracting projects? How can your firm support a project manager with defining quantities and units of measure?

4. Once the State has accepted the Design schedule, demonstrate how your firm will manage and maintain the schedule dates.

5. List standard turn-around time for design requests/changes, RFI’s, submittals, and differing situations that may impact time constraints.

6. Detail your firm’s quality control process related to specific plans, specifications and construction documents.

7. Procore Project Management Software usage is a requirement. Demonstrate how your firm plans to implement Procore on this On-Call contract?

8. Does your firm use dimension on the construction drawings? Explain your firm’s design plans between scaling and dimensioning on Design drawings.

9. On Design Drawings, are you able to use pictures or drawings with notes regarding tie-in points and locations?

10. Below is an example of the State’s response to a design drawing and the design professional’s response to the owner. Can your firm deliver this type of response deliverable?

Determining Project Deliverables:

There are two ways to determine project deliverables: either the client provides a clear scope that may outline a set of deliverables, or Dig Studio’s experience on similar projects can be used. At either starting point, the goal in determining project deliverables is to meet the clients expectations so they can make informed decisions;

Additionally, if the project is in construction, the deliverables should follow percent-complete standards so that input from the client can guide the documents as they near 100% completion and meet the standards for permitting.

General Approach to Managing Assigned On-Call Projects: Dig Studio’s approach to a typical on-call municipal project acknowledges that no two projects are alike. We tailor our process to reflect the project’s specific opportunities and constraints, staff visions and the surrounding community’s expectations and aspirations. We have worked on numerous complex and challenging projects applying our management and community engagement skills, our built-work experience, our curiosity, and our creative vision to ensure that all projects realize the project vision and goals. We consistently serve clients through on-call landscape architecture contracts, and work on projects both large and small, but always bring the same level of enthusiasm and innovative ideas to the table, regardless of the scope or scale.

Dig Studio is one of a few Landscape Architecture firms that has experience managing large multi-disciplinary teams of subconsultants. Our ability to provide quality oversight of our team is based on two fundamental principles: first, a working relationship with team members that we have respected working relationships with; and second, having a clear understanding of responsibilities of each team member. Dig Studio’s experience on complex projects gives us the working ability to review other disciplines’ work product to ensure the project is technically coordinated and successfully delivered. We utilize the opportunity to creatively assemble the best teams to respond to a given project opportunity.

Managing Multiple Task Assignments under the On-Call Contract: We have led and participated in multi-disciplinary teams on projects and on-call services task orders of all scales, and we understand the leadership needed to guide projects to completion. We have a committed team of four experienced leaders with a history of delivering successful projects to varying agencies within the state. Supporting this team are twenty landscape architects and graphic designers, in the Phoenix studio, which we can assign based on alignment of expertise and availability.

Our approach to task orders is led by the Principal and Project Manager. Upon receiving a task order, we assign the project team according to task order requirements. Then meet with the Project Manager for clear direction on project goals and schedule. We will then gather all necessary information, standards and guidelines. We will work with state or city staff to bring on sub-consultant partners required to meet the scope, and we bring strong relationships with many partners on successfully delivered projects. Our team will hold regular team meetings, both internal and with the client and government agencies in order to facilitate clear communication.

Job Order Contract (JOC). Dig Studio is very familiar with job order contracts. Dig is currently on seven on-call contracts, including for the Arizona State Land Department. Much of the JOC work is done through our on-call contracts. We work closely with the client’s PM and the contractor to determine the level of information needed for a project. We have provided complete construction documents for over $2.0 million in construction, or stopping at 60% design where the JOC contractor offers trades to complete the work.

Support Project Manager with defining quantities --- Dig utilizes Land F/X, an AutoCAD software extension specifically developed for landscape architects. The software provides accurate material quantities, including hardscape, landscape and detailed irrigation quantities.

In this day of rising costs, tight project schedules, and leaders who are managing multiple priorities, we understand that responsiveness, communication, and management are all necessary and vital attributes required for project success.

Our typical turn-around time is within two weeks, depending on the number of consultants that are involved in the project. On smaller projects we can turn these around in one to two days. It also depends on how much due diligence we need to perform on the property before being given the scope of work.

Quality Control: Dig Studio is committed to innovation, but innovation is more than a design characteristic — to us it’s about always improving. We have taken lessons learned from the last decade of delivering signature public spaces and applied them to our quality control processes. Below are a few quality control methods and considerations that will be critical to all projects from this contract:

• ISO project delivery system and enhance comment resolution process at all deliverable stages. This requires creating and maintaining detailed design schedule, developing design principals that are used as design criteria, creating sustainability check list, performing ‘outside’ QA/QC review, among other methods.

• Trust but verify two-week early internal deadline for design team coordination for base file consistency, red-line check, Town comment verification, and conflict resolution.

• Tracking project meeting comments in Deliverable set review format. Showing resolution to meeting action items.

•Early code checks for ADA, fire review, FCD compliance, etc.
•Enhanced internal CAD standards developed with an internal CAD committee with a focus on consistency

and efficiency. This includes standards for our management of sub-consultant CAD files.

• Early engagement with Town maintenance, facilities management, and event staff. This focus area has many benefits which include reduction in drawing changes late in the documentation process that can lead to more challenges.

•Best practices and facilities case study review with Town during schematic design.
•Constructibility reviews with CMAR at 30% and 60%. These steps require a focus on comprehensive and

complete Schematic and Design Development drawings and allows for more coordination prior to the 90% deliverables. We would also use this process to identify long lead items to manage for schedule and cost.

•Defined role for Design Implementation and QA/QC manager on the project.
•Third Party Partners - bringing vendors and experts in early and in a manner where all disciplines can be

accountable.

Yes, we use Procore Project Management Software, primarily on CMAR project interface, working with contractors and municipalities. For construction projects, Procore is the preferred management software by Dig Studio. We regularly work in Procore to review submittals, post drawing update, field directives and meeting notes. One central project management system provides a complete project record from the kick-off meeting through final maintenance walk-through.
