9. On Design Drawings, are you able to use pictures or drawings with notes regarding tie-in points and locations?

10. Below is an example of the State’s response to a design drawing and the design professional’s response to the owner. Can your firm deliver this type of response deliverable?

Please reference the following pages for answers to questions 2 - 10.

2. Describe how your firm determines project deliverables. Also, describe your proposed team’s general approach to managing the assigned on-call projects of various sizes and complexity.

The first step of each project will be to meet with the Arizona DOA and discuss the parameters of the project.

Once the project scope has been identified, we will develop a proposed list of project deliverables and send to the Arizona DOA for review and approval. The list of deliverables will be based upon the project complexity, the availability of existing drawings, the number of technical disciplines involved, and other project parameters.

After completing more than 600 on-call assignments over the past thirty-five years, GH2 understands the necessity for convenience and efficiency, consistency, clear communication with our client and cost control.

Flexibility and clear communication are important requirements for any project. The GH2 team will adapt to these requirements and respond to each project accordingly. We have developed a system to manage multiple task assignments that are going on at one time, which includes the project status and any outstanding items. By updating this list of task assignments on a regular basis and sharing with our client, we can all see how the multiple task assignments are being managed.

GH2 is adept at being efficient and flexible with task assignments. We understand that project conditions change and design and assignment flexibility is important. We work to document all project issues in a timely manner and our first goal in any project situation

3. Are you familiar with Job Order Contracting projects? How can your firm support a project manager with defining quantities and units of measure?

We are very familiar with Job Order Contracting projects. In order to effectively manage multiple varying size projects in different locations, we assign a main point of contact for each project and provide additional staffing as needed. This liaison will then communicate all of your requests, questions, and requirements to the rest of the team. At GH2, the architects conducting the on-site assessments and attending the project meetings are the same architects who design the project solutions and prepare the construction documents and specifications. Our project team will work directly to support project managers in confirming quantities and units of measure based up on the available survey and digital design information.

4. Once the State has accepted the Design schedule, demonstrate how your firm will manage and maintain the schedule dates.

The GH2 approach to project scheduling is simple, but effective. We work with our client to develop the optimum project schedule scenario, and then we assign the resources to complete each project on time. With 100+ professionals in-house, GH2 has the capacity to move projects forward quickly and efficiently. The GH2 team is committed to meeting deadlines and fully understands the critical relationship between timely delivery of services and the successful completion of projects.

5. List standard turn-around time for design requests/changes, RFI’s, submittals, and differing situations that may impact time constraints.

GH2 works closely with the entire project team to schedule responses and turn-around time for all reviews and materials. We expedite items that have a direct effect on the construction schedule.

Our standard internal turnaround durations are as follows:
Design requests/changes: seven (7) days maximum;
Requests for information (RFI’s): one (1) day maximum for initial response;
Single-discipline Submittal Review: seven (7) days maximum;
Multi-discipline submittal review: fourteen (14) days maximum;
Contractor’s applications for payment: two (2) days maximum.

6. Detail your firm’s quality control process related to specific plans, specifications and construction documents.

At GH2, quality control is integral to our design and project delivery process. Quality assurance begins on day one and does not end until the project assignment is complete. At the heart of our quality assurance program is staff and design team continuity. The same professionals attend project meetings, work on project design, prepare the construction documents and specifications, and visit the project site during construction.

The GH2 team includes a Certified Construction Specifier (CCS), multiple LEED & Well Accredited Professionals, and a Certified Cost Technician (CCT). In-house deadlines are scheduled in advance of actual project deadlines to allow proper time for coordination of the work of our design team and consultants. During each design phase, documents are reviewed and checked by professional staff who are not directly involved with the project. This allows for an independent evaluation and verification of the documents prior to their issuance.

GH2 has developed a strict in-house quality assurance policy that utilizes computer technology and peer review. GH2 utilizes Building Information Modeling (BIM) and other digital design tools to enhance the quality of design and technical documents and speed of project delivery. Digital conflict checking between design disciplines occurs during each design phase with the use of a single Revit Model. This process decreases actual conflicts, delays, and additional material costs during construction. Since design projects are modeled in three dimensions, clients can view and understand design solutions prior to the construction phase.

7. Procore Project Management Software usage is a requirement. Demonstrate how your firm plans to implement Procore on this On-Call contract?

GH2 fosters a team approach in working with clients, consultants, contractors, and permitting authorities.

Whether consultants are hired directly by GH2 or contracted with the Owner, we engage the entire team of consultants to collaborate effectively throughout the project. We facilitate Owner/Architect/Contractor (OAC) meetings and provide regular written project status updates to all stakeholders.

Once under contract with Arizona DOA, we will implement Procore Project Management Software. Since our team already regularly uses project management software, and many of our technical staff members have utilized Procore on other projects, we will easily be able to utilize this program. We appreciate the efficiencies that Procore will provide, and that they will translate to reduced risk, reduced conflict, expedited project delivery, higher quality and enhanced collaboration.

8. Does your firm use dimension on the construction drawings? Explain your firm’s design plans between scaling and dimensioning on Design drawings.

In accordance with the Construction Specification Institute’s (CSI) guidelines, we include dimensions on our drawings. We use the dimensions to communicate location, size, shape, and form for each material, assembly, and component. Critical dimensions are identified as the design progresses and are included on the drawings.

We also include a graphic scale on our drawing titles which assists in interpretation or scaling if the original sheet size is modified through reproduction. Our Construction Documents require that field dimensions be verified and not scaled using the drawing set.

9. On Design Drawings, are you able to use pictures or drawings with notes regarding tie-in points and locations?

Yes. We are proponents of utilizing photographs on drawing sets when working on renovation projects to show existing conditions alongside drawings.

10. Below is an example of the State’s response to a design drawing and the design professional’s response to the owner. Can your firm deliver this type of response deliverable?

Yes. GH2 typically utilizes Bluebeam and Bluebeam review for this process. We are able to track, exchange, and fully address review comments during all phases of a project. We ensure this process includes confirmation back to the reviewer that all comments have been addressed.
