Price Schedule for Fleet Management and Maintenance Coordination Services

This is a Price Schedule attachment (Attachment G) for a Request for Proposal issued by the Minnesota Department of Administration for fleet management and maintenance coordination services for participating State agencies. The RFP seeks proposals for a web-based fleet management platform to administer vehicle maintenance, repairs, roadside assistance, warranty and recall management, and reporting functions across State agencies. The deadline for submitting questions is September 23, 2026, at 2:00 pm Central Time, with questions directed to Allyson Youngquist at allyson.youngquist@state.mn.us. Responses must be submitted electronically through the SWIFT Supplier Portal by the date and time specified in the RFP event posting.

Pricing must be submitted in Attachment G: Price Schedule with mandatory responder input in yellow-colored cells across three primary sections: Section 1 requests monthly vehicle enrollment fees per vehicle type (passenger vehicles, light trucks under and over 10K GVWR, medium trucks, heavy trucks over 26K GVWR, and off-road equipment/trailers); Section 2 requests an invoice fee percentage for preventative maintenance and repair services charged against individual incident invoices; and Section 3 requests pricing for four additional services including fuel card integration, telematics system integration, fleet consulting, and fleet replacement intelligence tools. Responders may submit optional pricing in Sections 4 and 5 for additional services and discounts. All pricing must include services such as written materials, postage, dedicated website, roadside assistance, PM maintenance coupons, reports, data transfer, and coding updates, with no separate or additional charges permitted except for electronic transfer fees not to exceed three percent (3%) if the maintenance supplier elects expedited payment within three business days.
