STATEMENT OF WORK

PROJECT: NRRC Building D Conference Room Updates

BACKGROUND

The Natural Resources Research Center (NRRC) - Building D is the Research station for the USDA-ARS Ft Collins Location. Construction was completed in 2003, at which time, the building conference rooms were equipped with audio and visual equipment. This equipment is now over 10 years old and is in need of being upgraded/modernized. We are looking to upgrade and expand the functionality of the main building conference room, the North/South Platte, and potentially upgrade three additional conference rooms; the Rio Grande, the Big Thompson, and the Poudre.

SCOPE OF WORK

ITEM 01: North/South Platte Conference Room This conference room is a full-sized, multipurpose conference room accessible from the Main Lobby.

This room is 51’ X 36’ X 11’, with a suspended ceiling. When the room is divided, the North Platte is 30’ X 36’ X 11’, and the South Platte is 21’ X 36’ X 11’. This room has traditionally been used to deliver presentations to local audiences and limited audiences over the Internet (successful in hosting limited 2-way videoconferences). There is a concealable partition wall that can be used to split the room, creating two smaller conference rooms; the North Platte and South Platte (reference Platte_conf_layout document). Once partitioned, the rooms have the ability to function autonomously.

Current Equipment and Functionality (reference Platte Pictures)

• AUDIO - There is a fully functional audio system already built into the room(s) with up to six mono speakers concealed above the suspended ceiling tiles. Input can be from a multitude of sources including the presentation computer, rack mounted DVD/VHS players, or any combination of the room’s microphones. There are 4 rack-mounted Sennheiser wireless receivers that are paired with 2 Wireless handheld microphones and 2 Wireless lavalier-style microphones.

• VIDEO – The projector in the North Platte (which serves as the conference room’s main projector) was recently upgraded to a Christie DHD800 Projector that is connected to an AppleTV digital media player. The projector in the South Platte is an older model.

• INTEGRATION and CONTROL – A floor mounted, full-height rack is located in the closet to the rear of the South Platte. It houses the wireless receivers, amplifiers, DVD players, and all other equipment that is required for the room’s operation. The room can be controlled by 4 older-model Crestron Touchscreen panels mounted throughout both rooms. Additionally there are two VGA Extron wall plates in both rooms that serve as auxiliary inputs. As VGA has a limitation to the quality of video it can transmit, the Christie Projector is currently connected to the podium computer via a dedicated 30ft HDMI-to-DVI cable. This allows for a better image quality from the computer.

Products and Services Required

• Provide, install, and integrate an HDMI input switcher that would replace current video signal feeds and allow for control and switching via the Crestron or Crestron-like device

• Provide, install, and integrate a VOIP telephone expansion card in the Bi-amp that would allow for placing conference calls using the room audio as an input and output source.

• Provide and install HD VTC Codec with 2 cameras capable of hosting 3 HD connections and 6

SD connections,

• Integrate AppleTV (connect to HDMI input switcher as an available source)

• Replace South Platte projector (ref. pic platte_41) with a ceiling mounted HD projector that has wireless presentation capability

• Upgrade Extron wall plates to accommodate HD signals and XLR connections (XLR only on north platte wall input plate)

• Provide and install a Tablet (iPad, Android, etc.) controllable Crestron system to replace the current Crestron system. If possible, integrate and reprogram the associated Crestron touchscreen wall panels. If this is not possible, provide, install, and program new Crestron touchscreen wall panels.

o Note: We will need any associated Crestron software and/or licensing to operate this system.

POSSIBLE ADD ITEMS

ITEM 02: Additional Products and Services for the North/South Platte Conference Room

• Provide and install universal wireless display presenting technologies (similar to AppleTV, Roku, or Plex Players)

• Provide and install two (2) Blu-ray players in AV Rack

ITEM 03: Rio Grande Conference Room The Rio is a smaller-sized, executive conference room that is located on the 3rd floor, west wing. This room is a multipurpose room used for smaller, private planning sessions and video teleconferences. This room is 31’ X 20’ X 8.75’, with a suspended ceiling. The floor configuration is static with a large, centered boat table with room for additional seating along the periphery of the room (reference Rio_conf_layout document).

Current Equipment and Functionality (reference Rio Pictures)

• AUDIO - There is a partial audio system built into the room. Two mono speakers are concealed above the suspended ceiling tiles. Input can be from the presentation computer, the rack mounted DVD/VHS player, the Polycom HDX 7000 VTC unit, a Polycom Soundstation IP7000, or an auxiliary input.

• VIDEO – The main projector in the Rio was recently upgraded to a newer Panasonic model that supports wireless presentation via a proprietary USB dongle connected to the presentation computer. On the wall opposite of the projected image, there is a large Smartboard that receives input via a desktop machine. Interface is provided by a wireless keyboard and mouse.

• INTEGRATION and CONTROL – A rolling, half-height stereo rack is located near the far wall of the room. It houses the mixing amp, DVD players, and power conditioner. The room has a smaller (approx. 4”) legacy Crestron MP2 mounted near the rack. It controls the retractable projection screen and audio input levels.

• VIDEO TELECONFERENCE – There is a cart-mounted Polycom HDX 7000 that is the primary unit for VTC sessions. The cart is in a semi-permanent position towards the far end of the room. It is underneath a ceiling mounted LCD screen similar to the one on the VTC cart.

• Provide and install two wall mounted (70” or greater) flatscreen 1080p resolution capable TVs (LED), for use as a display for the VTC codec. This setup would replace the current projector and screen setup, which would need to be removed.

• Provide, install, and integrate a VOIP telephone solution that has VTC codec and wireless table microphones

• Provide and install a VTC codec capable of hosting 3 HD connections using H.323 or SIP (industry standard).

• Provide and install universal wireless display presenting technologies (similar to AppleTV, Roku, or Plex Players)

• Provide and install a Tablet (iPad, Android, etc.) controllable Crestron system to replace the current Crestron system. If possible, integrate and reprogram the associated Crestron touchscreen wall panels. If this is not possible, provide, install, and program new Crestron touchscreen wall panels.

o Note: We will need any associated Crestron software and/or licensing to operate this system.

• Provide and install an additional camera for VTC codec

• Improve or revamp room lighting solution for presenting in front of projected images (all supplies needs to be provided)

• Note: The conference room upgrade should eliminate all wired devices on the conference room table.

ITEM 04: Additional Products and Services for the Rio Grande Conference Room

• Provide and integrate an interactive touchscreen 70” or greater

ITEM 05: Big Thompson Training Room The Big Thompson Training Room is a computer room that is used for computer training and demonstration. This room is 30’ X 41’ X 9.25’, with a suspended ceiling (reference training_conf_layout document). The floor configuration is static with a several rows of forward facing computer desks. The instructor desk is at the front of the room facing the students.

Current Equipment and Functionality (reference Big Thompson Pictures)

• AUDIO – There is a partial audio system built into the room. Two mono speakers are concealed above the suspended ceiling tiles. Input can be from the instructor computer, the rack mounted DVD/VHS player, a Wireless microphone or an auxiliary input.

• VIDEO – The projector in the Big Thompson is an older model. Input can be from the instructor computer or rack-mounted DVD player.

• INTEGRATION and CONTROL – A wall mounted, half-height rack is located in a closet at the back of the room. It houses the mixing amp, DVD players, 1 rack-mounted Sennheiser wireless receiver, and power conditioner. The room has a smaller (approx. 4”) legacy Crestron MP2 wall-mounted next to the instructor desk. It controls the retractable projection screen and audio input levels. Video input is via a VGA Extron plate mounted below the Crestron panel.

• Replace the Big Thompson projector (ref. pic) with a ceiling mounted HD projector that has wireless presentation capability

• Provide, install, and integrate new input places that have HDMI inputs to facilitate a higher quality image sent to the projector.

• Provide and install a Tablet (iPad, Android, etc.) controllable Crestron system to replace the current Crestron system. If possible, integrate and reprogram the associated Crestron touchscreen wall panels. If this is not possible, provide, install, and program new Crestron touchscreen wall panels.

o Note: We will need any associated Crestron software and/or licensing to operate this system.

ITEM 06: Additional Products and Services for the Big Thompson Training Room

• Provide and install universal wireless display presenting technologies (similar to AppleTV, Roku,

ITEM 07: Poudre Conference Room The Poudre is a smaller-sized, unit conference room that is located on the 3rd floor, east wing. This room is a multipurpose room used for small conference sessions and phone teleconferences. This room is 14’ X 26’ X 9.5’, with a suspended ceiling (reference poudre_conf_layout document).

Current Equipment and Functionality

• VIDEO – The projector in the Poudre is unit provided and is not mounted. Input is via a direct connection to a user’s laptop.

• Replace Poudre projector (ref. pic) with a ceiling mounted HD projector that has wireless presentation capability

• Provide and install a motorized projection screen.

o Note – there is already a housing cutout in the ceiling of the room.

ITEM 08: AFM Conference Room The AFM Conference Room is a newly constructed room with no audio/video equipment, located on the 3rd floor, west wing. It is approximately 10’ X 14’ X 9.5’. It will be used for phone teleconferences and presenting to small groups.

Current Equipment and Functionality

• Power and Telecom installed at normal height (~18”) in walls

• Provide and install a wall mounted 70” flat screen 1080p resolution capable TV (LED.)

ITEM 09: Additional Products and Services for the AFM Conference Room

• Provide and install raceway/cable management equipment below TV

• Provide and install universal wireless display presenting technologies (similar to AppleTV, Roku, PERIOD OF PERFORMANCE: 120 Days after contract award
