About this file

This document outlines requirements for architectural and engineering services to upgrade heating, ventilation and air conditioning systems for the Supply Process Sterilization area at the Jamaica Plain campus of the VA Boston Healthcare System. The selected firm will provide all necessary design, cost estimating, scheduling and construction administration services. Specific requirements include developing space programs, schematic designs, construction documents, cost estimates, project schedules and phasing plans using the most current VA software versions. The firm must conduct on-site investigations and user meetings to define the project scope, which includes rerouting existing ductwork and upgrading ventilation in adjacent building lobbies. Supply Process Sterilization (SPS) HVAC Corrections Project # 523-09-156

SUPPLEMENT “A”

Additional Requirements of Architect/Engineer Services:

1) The Architect-Engineer (A/E) shall provide all space programs, temporary facilities, schematic design, design development, construction documents, construction administration services, calculations, equipment selections and cost estimates to provide Supply Process Sterilization HVAC Corrections for the Jamaica Plain Supply Process Sterilization operation at the VA Boston Health Care System, Jamaica Plain Campus.

The SPS floor area is shown on drawing AE104, Second Level Floor Plan, SPD Process Design/HVAC Upgrade Building 1, as designed by SMRT and bound by “limit of work”.

2) The SPS area is currently served via the following: 15-ton rooftop condenser unit; AHU- 1 (1540CFM); and AHU-2 (2670CFM). Exhaust is provided via several fans: EF-1 (1540CFM); EF-2 (1110CFM); and 2-EF-8 (11,000CFM).

3) In addition to the upgrades determined via site visits, investigation of existing documents and user meetings, this project shall reroute ductwork that was provided under project 523-07-139, SPS Process/HVAC Upgrades. Project 523-07-139 provided a 15,000 CFM station air handler to provide partial HVAC for the SPS area. The air handler was not tied into the SPS area due to the long duct distances and high ambient temperatures at the ductwork plenum. However, this equipment can assist with the pressurization with lobby areas that are adjacent to SPS. The A/E shall design reroute of ductwork to re-establish pressurization and HVAC control for the basement lobby, first floor lobby and second floor lobby of building 1. Provide selective demolition, variable air volume boxes, building automation control, pressure control, duct distribution, fire protection and replacement of finishes.

4) On site visits to define the details of the project scope of work meeting the goals of the

Veterans Affairs' (VA) project team, and presentation of preliminary layout plans with proposed alternatives.

5) Electronic drawings shall be developed utilitizing most up to date VA version of

AutoCad. Each electronic drawing file shall be identified with the drawing number and drawing title.

6) Specifications shall be developed utilizing most up to date VA version of MS Word.

Electronic Specification files shall be identified with the specfication number and specification section title. Individual MS Word specification section files as well as a consolidated MS Word file of all specification sections is required. In addition, a pdf consolidated file of all specifications sections is required.

7) Cost Estimates shall be developed utilizing most up to date VA version of MS Excel.

8) All computer-generated files shall be IBM compatible and furnished on high quality CD-

R disks. Provide in accordance with Supplement “B” sets of drawings (AutoCAD) and specifications (MS Word and pdf) and cost estimates (MS Excel). The computerized version, format and media of the computer disks and files shall be specified and verified by the VA Project Engineer at the time each submission is due (XRF and ZIP files are not

Supply Process Sterilization (SPS) HVAC Corrections Project # 523-09-156 acceptable). Provide durable high quality plastic storage boxes at each submission for long term archiving of the disks by the VA.

9) 90% Design Submission: The 90% design submission shall be a complete 100% design.

All plans, sections, details, etc. shall be complete at this time. The A/E shall ensure that the 90% design submittal is in fact his/her 100% product, and that it represents a total biddable package. An incomplete 90% design submittal may be rejected by the VA; a rejection will require the A/E to resubmit a 90% design with no additional cost to the A/E.

10) The design consultant must have a PDF writer program to electronically sign material submittals; all Material Submittal Forms will be processed via electronic format with digital signature which utilizes a PDF Writer Program such as Adobe Reader/Writer or Pro V Nuance.

11) Site visits (6 design and 8 construction) as required and/or requested by the VA

Contracting Officer and Project Engineer for review and inspection of progress including final tests and inspections.
