Reference: 2.2.10: ADC and workflow attributes

2.2.10.14: Shall have the ability to turn patient profile functionality on or off per cabinet.

Question: Does customer accept that cabinets may have profile functionality turned on or off based on the contractual coverage?

Answer: Yes, this is acceptable to the Government

Reference: 2.2.10: ADC and workflow attributes

2.2.10.38: Shall have UPS or battery backup for all systems. Minimum 2-hour backup for anesthesia units.

Question: Our solution has a battery backup process. In event of power loss, the battery will support 2 minutes to allow for safe station shut down or emergency power to turn on. Is this acceptable?

Answer: Yes, this is acceptable to the Government

Reference: 2.2.12: Reporting

2.2.12.4: System shall match and report on medication dispense and cabinet administration times.

Question: BD defines “cabinet administration time” as the time that med was dispense from the cabinet.

Both Pyxis Enterprise Server Reports and Med Knowledge Portal capture this information. Is this acceptable? Yes, this is acceptable to the Government.

Additionally, all cabinet reports are viewable on screen and can be printed at the cabinet or a network printer. The Knowledge Portal for Medication Technologies is a secure access hospital reporting tool. The

Knowledge Portal for Medication Technologies enables a hospital to leverage the benefits of the Pyxis

MedStation, Pyxis Anesthesia Station and Pyxis CIISafe and Pyxis Logistics data to support standardization—helping to increase inventory efficiencies, meet regulatory and state compliance requirements, and enhance user auditing. By integrating with key Pyxis technologies, pharmacy can manage users, medications, and costs for the single hospital or across a health system—customizing as needed for a particular region, hospital, and helps eliminate duplicate data access points.

The Knowledge Portal for Medication Technologies is designed to provide you with Key Performance

Indicators (KPIs) and Reports to support all areas of medication inventory management; including dispensing activities, station optimization and cost analysis, tracking of discrepancies, system users’ compliance data, and more.

Are the following reports from our console and Med Knowledge Portal solutions acceptable?

• Inventory—A complete inventory by device, by drawer, or by Outdated medications, and includes only those items that are below minimum or below maximum counts.

• Refill Pick—For selecting medications to refill.

• Refill Delivery—For medication delivery. Events—The All-Device Events report allows users to view all medication transactions at the device for the reporting period. This report can also be used to research discrepancies.

Answer: Yes, this is acceptable to the Government

Reference: 2.2.12: Reporting

2.2.12.5: Shall allow authorized users to connect Structured Query Language (SQL) based third party reporting and analytical tools (e.g., Business Objects, Statistical Analysis Software (SAS) Tableau/Power

BI, Open Refine)

Question: BD complies with this request by providing access to data through the following methods:

• ES Reports allow users access to data through the Med ES server.

• Knowledge Portal for Pyxis medication technologies is an intuitive, web-based application for hospitals seeking to maintain flexibility in their analytical processes. By combining pre-defined key performance indicators (KPIs) with several custom parameters, hospitals can actively monitor trends, perform root-cause analysis and share insights across the organization. The Knowledge Portal contains key reports around diversion, inventory optimization metrics to help reduce costs and improve workflows - such as waste activities, internal benchmarking, and a discharge patients report.

• Archive Files: The Med ES system is configured to archive data at the server into a file that can be extracted later by customers for use in third party applications such as Microsoft Access. BD will configure the server to archive data in a location chosen by the VA

Would the workflows above be acceptable? Yes, this is acceptable to the Government as it would achieve the overall Government objective.

Additionally, is it acceptable if users can export data in *.csv or *.xlsx formats for later ingestion by 3rd party systems?

Answer: Yes, this is acceptable to the Government

Reference: 2.2.15: Training

2.2.15.1: Shall be provided by the contractor at time of delivery Installation for super users and regular users. Vendor shall proctor trained super users administering training during the go live event

Question: BD will train customer Super Users to be training resources for other end users, considered

“Train the Trainer” during Implementation. Customers may contract for additional training from BD at an additional cost. Is this acceptable to the customer?

Answer: Yes, this is acceptable to the Government.

Reference: 2.3.4 - Task 4: Develop New Process Training

2.3.4.1: The training course shall be designed and developed such that attendees can recognize the changes, understand the new process and be able to perform the new process upon completion of the training course. The course must include all shifts, validate lessons learned, and be designed to include face to face training for end-users across all shifts and disciplines. The vendor shall ensure that all End users become subject matter experts.

Question: BD will train customer Super Users to be training resources for other end users, considered

“Train the Trainer” during Implementation. Customers may contract for additional training at an additional cost. Is this acceptable to the customer?

Answer: Yes, this is acceptable to the Government.

Reference: 2.3.5 - Task 5: Deliver New Process Training

2.3.5.1: The Contractor shall deliver training on the new process on the VA site for a minimum of 1 year.

The vendor shall provide remote assistance for a period of 5 years. The contractor shall provide a product demonstration.

Question: BD will train customer Super Users to be training resources for other end users, considered

“Train the Trainer” during Implementation. With a contracted support plan, customer has access to BD’s online learning portal with over 400 web-based education modules with simulations, assessments, and webinars. Anything above or beyond can be contracted separately at an additional cost. Is this acceptable to the customer? Yes, Train the Trainer is acceptable to the Government

Additionally, remote assistance is included with a support plan. The current CLIN structure includes support for the base year, and not for 4 additional option years. Will the VA either add a CLIN for the 4 option years which would grant them remote assistance, or remove the requirement for remote assistance for a period of 5 years?

Answer: Yes, the Government confirms language will removed.

Reference: 2.4.1: Delivery

2.4.1.6: Any government requested delayed delivery up to 120 days after initial award delivery date, shall be at no additional cost to the Government.

Project milestone completion dates assume global supply chain constraints do not have an impact on the equipment delivery schedule. Is this acceptable to the customer? Yes, this is acceptable to the Government

Reference: 2.4.2: Installation and Implementation

2.4.2.2: The contractor shall be responsible for all equipment until installed and accepted by the

Government.

Question: The BD project manager will coordinate the custom configurations and requested delivery dates for all Pyxis equipment with the customer prior to order. A phased equipment delivery and implementation plan can be coordinated and mutually agreed upon. Is this acceptable to the customer?

Answer: This is acceptable to the Government. The Government will coordinate with the vendor to establish an appropriate timeline to complete deliverables.

Reference: 4: Period of Performance

4.1: The anticipated Period of Performance for overall project is 240 days from award.

Question: BD’s current implementation timeframe is 270 days ARO, which allows for a kick-off within the first 30 days of contract award to develop a mutually agreed upon project timeline.
