Questions and Answers for RFQ# 36C24822Q0612

1. On the door list provided BLDG 1 begins with Door ID 001-0025. Do Doors 001-

0001 thru 001-0024 exist?

Answer: Please see revised Automatic Door Listing @ JAHVH (Attachment 2 - Updated), as additional doors were missing on the first excel document (also see updated

Attachment 1 – Updated PWS to reflect the automatic door types listed and grand total).

2. The contract documents state that all preventative maintenance and emergency repairs are to be made Monday thru Friday from 7 AM to 3:30 PM. The contractor understands that facility is a very active campus. Are there any doors that can only be accessed after hours?

Answer: Direct Patient Care areas are typically quite busy; vendor will work with the COR to address any/all scheduling issues to better service any automatic doors without affecting Direct Patient Care.

3. Will the preventative maintenance be responsible for repairing in issues/problems with the card access system tied into the automatic doors? Currently the card access system is supervised and maintained by Tyco Security (now JCI).

Answer: JCI will continue to maintain access as in the past; any challenges/collaboration required between vendors will be scheduled/coordinated with the COR.

4. Please confirm that unvaccinated contractors will be required to show proof of a negative COVID-19 taken within 3 days prior to arriving onsite.

Answer: Please refer to the VHA Supplemental Contract Requirements for Combatting

COVID-19 verbiage as stated in the PWS (Pg. 15), as this is the latest VHA Policy.

5. How often can the contractor submit for the preventative maintenance of the automatic doors? As the PMs are completed or does the total value of the yearly contract have to be split evenly over 12 months?

Answer: Current allocation is spread-out over 12 months.

6. Please confirm that the emergency repairs are not to be included in the price schedule for this solicitation.

Answer: An hourly emergency call-out rate; please provide an hourly emergency call-out rate on LIN 0008 on the updated Item/Price Schedule (see Attachment 6).

7. The solicitation states that the contractor must schedule and be escorted by the

VA representative while conducting the PM’s. How many days out of the month will the VA rep be available to escort the contractor?

Answer: Contractor will be provided an escort whenever they are on campus to perform

PM Services.

8. The solicitation states that PMs must be conducted monthly. Is there a limit on how many doors can be PM’d in a month?

Answer: No, Work with the COR to meet the PM requirement; see also question 5.

9. It was stated during the walk through that the government would like pricing for replacement parts. How would the government like this pricing?

Answer: Individually, i.e., door operator controller, panic hardware electric motor Sargent

Series, OSHA Decals, etc.

10. Please confirm that the contractor is not required to include pricing for controllers since they vary in price by door operator manufacturer.

Answer: Yes, Listing provides manufacturer’s name.

11. As discussed at the site visit, we want to confirm that vendors should not include parts in the monthly maintenance pricing and should be priced and quoted separately after the repair (i.e., faulty controller) is found during the preventative maintenance service.

Answer: Yes, During Preventative Maintenance; repairs outside the manufacturer preventative maintenance requirements will be highlighted and provided to the COR at the end of each day (see section II Scope).
