Asheville VA Medical Center Generator Preventative Maintenance Inspections Vendor’s Questions for Solicitation RFQ 36C24625Q0480

1. Will there be a site visit before the contract award? If so, what is the date, time, and location? No

2. Are the emergency call services included in this solicitation/contract? This solicitation includes emergency calls for preventive maintenance should the need arise to run the generators for more than 500 hours. For example, during the hurricane we ran the generators for 1,000 hours so during that period we would have required 2 emergency calls to perform preventive maintenance.

3. If the Generator’s batteries need to be replaced due to its expiration date or any other damage, does the contractor need to submit a replacement quote for review and approval to the COR? Yes, no repair work shall be completed without notification from the Contracting Officer.

4. If the Contractor identifies an operational problem during the annual or semiannual inspection and a corrective action/repair is needed, does the contractor need to submit a repair quote for review and approval to the COR? Yes, no repair work shall be completed without notification from the Contracting Officer.

5. Regarding the Annual PM, oil samples should be taken and sent to the lab for testing. Does the contractor need to pull out a coolant and fuel samples as well? Yes

6. If the contractor notices fuel contamination during the annual or semiannual inspection, does the contractor need to submit a quote for fuel polishing services? Yes, no repair work shall be completed without notification from the Contracting Officer.

7. We couldn’t find any information regarding any known issues with the units in the solicitation. Are there any known pre-existing conditions on these generators that we need to know? The CAT generator at building 62 is burning oil while running. That is the only problem we are aware of at the moment.

8. Does the generator maintenance consist of two trips onsite per year? Yes, unless the need arises for emergency preventive maintenance if the generators have been running for 500 hours.

9. Is this requirement for only Preventative Maintenance and not the load bank testing as well? Yes, load bank testing is a separate contract.

10. Do you want to include the load bank testing as part of this solicitation? No Generator Preventative Maintenance
