Questions

Huntington VA

We are interested in submitting for this solicitation 36C24524Q0838, but we had a few questions:

• How many instruments are in the trays? Trays are stated to be 15-18 per facility, but asking for clarification on instrument numbers We have 15-40 instrument in our trays

• How often would we be visiting these facilities? 1 to 2 days or multiple visits a month? Every 2 weeks

• How many technicians are needed to complete these tasks? This is up to the contracted service.

• The total number of instruments that are needing laser marking? I saw an item mentioning this in the solicitation, but no further details provided on the laser marking/etching. We will be etching our own instrumentation

• How many autoclaves are at each facility for the quarterly cleaning? We have a total of 4 autoclaves

Baltimore & Perry Point VA

· How many instruments are in the trays? Trays are stated to be 15-18 per facility, but asking for clarification on instrument numbers. Hard question to answer. Some of our trays have 150 instruments. Some have 3 Instruments.

· How often would we be visiting these facilities? 1 to 2 days or multiple visits a month? VAMHCS expects visits once a week at Baltimore and once a month at Perry Point.

· How many technicians are needed to complete these tasks? This is up to the contracted service.

· The total number of instruments that are needing laser marking? I saw an item mentioning this in the solicitation, but no further details provided on the laser marking/etching. Laser etching helps with the instrument tracking in our Censitrac computer system. For the VAMCHS the majority of instruments are marked so this would be on an as needed basis.

· How many autoclaves are at each facility for the quarterly cleaning? VAMHCS Baltimore 2 large and 4 small, VAMHCS Perry Point 2 small.

Martinsburg VA

1. In my opinion, it would be very difficult to give instrument numbers per set. Instrument sets at MWV have a large degree of variability in total instruments depending on specialty.

1. Twice per month for MWV VAMC. The expectation is 15-18 sets can be repaired during each visit.

1. MWV VAMC needs twice a month on site repair. Ideally, every other Friday. They need a mobile van/truck that is self-contained and provides all necessary utilities to complete the task. They Vendor can work between 8am-430pm. They can accomplish this as they see fit.

1. Again, this would be another item that would be highly variable for us at MWV. Providing a firm number would be very difficult.

1. 4 sterilizers cleaned per quarter. 20 total cleanings per year

Beckley VA

• How many instruments are in the trays? Trays are stated to be 15-18 per facility, but asking for clarification on instrument numbers we have trays from 10-100 item per tray

• How often would we be visiting these facilities? 1 to 2 days or multiple visits a month? 1 visit a month

• How many technicians are needed to complete these tasks? This is up to the contracted service

• The total number of instruments that are needing laser marking? I saw an item mentioning this in the solicitation, but no further details provided on the laser marking/etching. We do our own

• How many autoclaves are at each facility for the quarterly cleaning? 3

Clarksburg VA

• How many instruments are in the trays? Trays are stated to be 15-18 per facility, but asking for clarification on instrument numbers The amount of instruments in each tray varies. (Example: One instrument set could have 1 instrument, and another could have 100 or more instruments).

• How often would we be visiting these facilities? 1 to 2 days or multiple visits a month? Currently twice a month for repair and sharpening. Case cart repair is currently a separate visit, not included with the instrument repair and sharpening.

• How many technicians are needed to complete these tasks? This is up to the contracted service

• The total number of instruments that are needing laser marking? I saw an item mentioning this in the solicitation, but no further details provided on the laser marking/etching. Our facility is in the process of marking our own instruments and trays (Censitrac).

• How many autoclaves are at each facility for the quarterly cleaning? N/A for Clarksburg

DC VA

· How many instruments are in the trays? Trays are stated to be 15-18 per facility, but asking for clarification on instrument numbers 25-75 instrument per tray

· How often would we be visiting these facilities? 1 to 2 days or multiple visits a month? Minimum once a week

· How many technicians are needed to complete these tasks? This is up to the contracted service

· The total number of instruments that are needing laser marking? I saw an item mentioning this in the solicitation, but no further details provided on the laser marking/etching. Providing a number would be difficulty. Numbers highly varies.

· How many autoclaves are at each facility for the quarterly cleaning? 5 autoclaves

Questions

1. How many case carts are at each facility?

Beckley- 0

VAMHCS-BAL-approximately 50; Perry Point-0

Clarksburg- approximately 54

DC-40

Huntington-approximately 20 Martinsburg- approximately 30

2. Beckley shows “0” case carts in CLIN 0003, does this mean Beckley does not have any case carts to price? That is correct. Beckley has confirmed.

3. Page 6, PWS: #1. General Information: paragraph 2 indicates the repair vendor must provide replacements with preowned instrumentation for items being shipped out. What is the process for tracking these loaner instruments within the hospital to make sure they are returned to the contractor when the repaired instrument is returned to the facility?

Censitrac for the facilities that are using that system scanning instrument barcodes in and out of service and a logsheet for those who are not using Censitrac or for those instruments that are not barcoded.

Instruments are scanned in and out via Censitrac.

In process of marking instruments for Censitrac.

4. Page 8 Item “o.” Is providing new replacement instrumentation a requirement? If the contractor can make recommendations for instrument replacement, and can provide new instrumentation, but not at the time of repair, does this disqualify their bid? Martinsburg and VAMHCS state replacement instruments do not need to be provided by repair Vendor. SCMS stocks most items in SPS that are needed frequently. Not sure if this is true for other facilities.

5. Page 10, Sterilizer Cleaning: You are asking for sterilizer cleaning, but the request also indicates your expectation is that the repair vendor must also provide service maintenance for the units, is that correct?

VAMHCS and Martinsburg replied that Service Maintenance would be done by Biomed. Not sure if this is true for the other facilities.

6. Clarksburg shows “0” autoclaves in CLIN 0008, does that mean there are no autoclaves requiring cleaning there? That is correct. Mike Kaplan has confirmed in a previous call.

7. Washington has “20” autoclaves in CLIN 0012, does that mean there are 20 to be serviced at each quarterly visit, or 5 at each quarterly visit? Can you please provide clarification for the number and size of autoclaves for each facility that require service at each quarterly visit, since your directive in the SOW page 11 states the following: A visit will consist of up to 2 Large Sterilizer units and one Small Sterilizer cleaned per Visit (3 Total)

The answer to the first part of this question for DC is 5/quarter.

Martinsburg: 4 total sterilizers

(3) Getinge 733HC Vacuum/Steam Sterilizer

(1) Getinge 533 HC Vacuum/Steam Sterilizer VAMHCS: 8 total sterilizers

(2) Perry Point large sterilizers

(6) BAL 3 sterilizers in SPS 2 large and 1 small; and 3 small sterilizers in OR Beckley: 3 total sterilizers
