About this file
This is a Request for Information (RFI) issued by the Howard County Public School System (HCPSS) Procurement Office in Maryland for a Web-2-Print Software-as-a-Service (SaaS) tool. The RFI, numbered RFI_007.27.B8, was issued on July 31, 2026, with a question deadline of August 10, 2026, at 12 p.m. EDT and a submission deadline of August 31, 2026, at 4 p.m. EDT. This is strictly an information-gathering exercise and does not constitute a solicitation or commitment to purchase. HCPSS clarifies that no costs may be charged for RFI responses and that submission does not provide vendors with any advantage in potential future Requests for Proposal. The RFI seeks information regarding commercially-available Web-2-Print SaaS solutions to support the HCPSS Print Services Team, which currently processes approximately 3 million impressions per month across multiple Canon production devices using ten employees.
HCPSS has outlined comprehensive technical, security, and capability requirements for the desired Web-2-Print SaaS tool. Technical requirements include integration with Active Directory or Azure AD for Single Sign-On, secure APIs to avoid direct internal network access, Multi-Factor Authentication support, role-based access controls with separate administrative categories, audit logging capabilities, and log export integration with commercial monitoring tools. Data security expectations include encryption in transit and at rest, U.S.-based data storage, data ownership retention by HCPSS, no unauthorized data reuse for analytics or AI training, compliance with student data privacy requirements, and clear data retention and deletion policies. The vendor must maintain current SOC 2 Type II certification or equivalent, documented security practices, breach notification commitments, uptime SLAs, and backup and disaster recovery capabilities. Additionally, HCPSS seeks information on software capabilities including printer neutrality, web browser compatibility, variable data printing functionality, job ticket creation with finishing options, PDF creation and proofing, approvals and notifications, accounting and cost center assignment features, inventory controls, print production management, and multiple job submission formats.
