About this file

This is Addendum #1 to a Request for Proposals issued by The School Board of Polk County, Florida for external independent auditing services. The addendum, released on April 3, 2020, modifies submission procedures and provides clarification on proposal format requirements. Due to the public health crisis, all proposals must be submitted electronically through VendorLink at www.myvendorlink.com by April 15, 2020 at 3:00 p.m. Eastern Time, with acceptable file formats limited to Microsoft Excel, Adobe PDF, or ZIP files. The evaluation committee meeting is scheduled for April 17, 2020 at 9:00 a.m., with finalist presentations, if necessary, on April 23, 2020 at 10:00 a.m. The award recommendation is anticipated on April 20, 2020 or April 24, 2020 depending on whether finalist presentations are required, with Board approval of the recommendation scheduled for May 12, 2020 and contract start date of May 13, 2020. The deadline for submission of written questions was April 1, 2020 at 3:00 p.m., and no additional questions will be accepted due to the limited time for receipt of proposals.

Proposals must be organized according to the format specified in section 4.1 of the RFP with subheading numbers and letters corresponding to the solicitation, and the Table of Contents should include each tab and heading. PDF documents should preferably be bookmarked to correspond to page numbers in the Table of Contents to facilitate evaluation. Vendors must include a signed addendum acknowledgement form with their proposals. Hard copy submissions, CD/DVD submissions, and submissions via mail, facsimile, or email will not be accepted. The addendum confirms that the RFP was not posted to www.mygovwatch.com and clarifies additional posting information available at www.myvendorlink.com. Evaluation committee meetings are anticipated to take place in virtual format, with additional details to be provided at a later date.

To: All Vendors

From: Lynn Adams, Director of Purchasing & Printing Services

This addendum is to provide interpretation, clarification or additional information to the solicitation and provide official responses to timely received questions.

For easy identification, additions are indicated by bold, underlined text and deletions are indicated by strikethrough (strikethrough).

Due to the current public health crisis, all submittals for this Request for Proposal

(RFP) will only be accepted electronically via Vendorlink rather than submitting hard copy (paper) responses and CD/DVD or flash drives. It is the sole responsibility of the proposer to ensure that their response is submitted through

If technical difficulties arise during submission of the response, it is the proposer’s responsibility to contact VendorLink technical support at support@evendorlink.com. Polk County Public Schools shall not be responsible for delays caused in any occurrence.

Submittals sent by mail, facsimile, electronic mail, telephone, or any other means not specified herein will not be accepted. Responses may not be withdrawn after the due date. All submissions must be transmitted electronically through

VendorLink at www.myvendorlink.com. Acceptable file formats for upload are

Please see the responses below to written questions that were timely received by the district.

Questions may have been edited for clarity and brevity.

Q.1. Do you anticipate extending the bid due date?

A.1. No.

Q.2. What additional details are you willing to provide, if any, beyond what is stated in bid documents concerning how you will identify the winning bid?

A.2. None.

Q.3. Was this bid posted to the nationwide free bid notification website at www.mygovwatch.com?

A.3. No.

http://www.mygovwatch.com/

Q.4. Other than your own website, where was this bid posted?

A.4. Please refer to the information posted at www.myvendorlink.com.

Q.5. With regard to the proposal format, 4.1 on Page 14 requires proposals to be organized in the format provided. My question is if the RFP is requiring a heading for each number or letter associated under each tab (See example below)?

Tab 1:

1A: (Subheading)

1B: (Subheading)

1C:

Etc.

Do you wish to have these subheadings for each piece of information? If that is not the intent, could proposers organize the material in the correct order, but without the subheadings?

A.5. Please include each Tab and Heading in the Table of Contents. Proposals should present the information with subheading numbers and letters that correspond to the RFP. It is preferable

(but not required) that the .pdf document be bookmarked to correspond to the page numbers in the Table of Contents to facilitate the evaluation process.

Please complete and return the addendum acknowledgement form with your proposal as applicable.
