About this file
This document contains questions and answers regarding Request for Additional Information for federal contract opportunity number W9124M23Q0029 for Spouse Mentorship services from the Department of the Army Materiel Command Mission and Installation Contracting Command. The contractor will be required to provide meeting space, AV equipment, and catered meals for two days of training and mentoring events for military spouses and childcare. Specifically, the contractor must provide AV equipment and catered meals in two meeting spaces that will be used for classroom training and childcare. Meals can be provided via catering or buffet style. An event planner is required to plan the event pre-event but only needs to be accessible by phone during the event as an on-site venue planner will take over on-site responsibilities. Snacks and all-day coffee are not required but can be provided if included under the meal CLINs. The per diem rates for potential locations in South Carolina, Georgia and Florida should be referenced, with Georgia being the highest priority location, ideally close to Fort Gordon but within the mileage radius specified in the PWS. Proposals from multiple hotels may be submitted in a single Excel spreadsheet.

1. In the 2 meeting spaces, does the client need AV in both spaces? Or is one for meeting & one for eating?
A. We will need AV in both spaces- One space is for classroom training for Spouses (They can eat in the same room) / the second place is for unit provided child care (WE ARE NOT ASKING THE CONTRACTOR TO PROVIDE THIS). The childcare room will need AV for movies, and they can also eat in there.
2. The solicitation/CLINs state vouchers for meals- can these be meals served in the requested dining space buffet style?
A. Meals can be provided via catering, buffet style, or meal vouchers; end state is that dinner is provided Friday, three meals (B, L, D) on Saturday, and Breakfast on Sunday.
3. The PWS states that the contractor shall provide an event planner & expected to be onsite- To save money, can the contractors event planner do all the planning pre-event and then use the appointed venue planner/POC for onsite, with the contractor planner 100% accessible by text/phone during the event?
A. As long as we have a POC on site during the event to ensure performance of the contract, we are good to go. We can transition from the pre-planner to the on-site planner.
4. Please confirm that no snacks or all-day coffee are needed for this event?
a. However, if the vendor can provide this under the meals CLIN, then we won’t say no.
5. What is the designated per diem for this event?
a. Please visit this site to find the per diem rate for each location (https://www.gsa.gov/travel/plan-book/per-diem-rates)
6. Of the three beachfront locations (South Carolina, Georgia, or Florida), is there one you would say is highest priority?
a. Georgia, then SC, then Florida (Ideally closer to HAAF, but not to exceed the mileage radius in the PWS
7. Lastly, as a 3rd party broker we work with multiple hotels. Would you like us to submit each hotel proposal separately, or in a single excel spreadsheet?
a. If you can provide a single excel spreadsheet that will be fine.
