MEMORANDUM FOR RECORD

FROM: 126ARW MSC

SUBJECT: Site Visit Minutes— W50S7S21Q0025; Classroom Audio Video

1. A site visit meeting was conducted on 5 May 2021 at Building 5008 on Scott Air Force Base. The following were in attendance:

[See vendor sign-in]

2. An overview of the entire solicitation package was briefed with particular attention given to evaluation factors (a comparative evaluation), the encouragement to quote options, and deadlines. Additionally, the specifications were discussed.

Innovative approaches were encouraged and no specifications are to be taken as absolute.

Additionally:

The government’s end vision is a turn-key video/audio system. The classroom will be used for screen briefings, classroom lectures to adults. Video with audio will be frequently played. Classified and unclassified briefings will take place in this space. Not requesting noise damping, although vendors can quote as an option.

Displays should not have “Smart” features due to potential classified briefings.

Proposed devices will need to be approved for use during classified briefings.

Only a NIPR desktop will be connected to system. SIPR is not installed in area.

The existing screen can be re-used and vendors can quote a new screen as an option line on their final quote.

Vendor can option quote two input locations to support multiple laptops.

The government will entertain electrical and other structural work, but would prefer vendors to quote that work as options.

The classified/unclassified sign does not need to be integrated to the system or replaced.

The proposed Contract is for a system, not a service, and is not subject to the Service Contract Act.

Due to frequent changes in individuals presenting and audiences involved, ease of use is requested. Vendors encouraged to offer innovative solutions.

Vendors can quote adaptor rings rather than dedicated video cords for each input.

A new audio amp is requested, but speakers can be reused.

A wireless lapel microphone can be proposed.

It is preferred that the proposed podium allow some movement to reposition near the wall a few feet away. This is not necessary but preferred.

Vendor should plan on providing their own scissor lift.

3. All questions were requested to be submitted in writing to the Contracting Officer.

Answers would be provided through an amendment to the solicitation.

4. No additional items or information were presented.
