Statement of Work (SOW)

Project: USDA/CCRU Install Blower Motors and Associated Hardware in Head House

GENERAL INFORMATION

1.0 Scope of Work: Remove existing motor, belts, pulleys, and sheaves. Replace three, ceiling-mounted, three phase motors with facility supplied EMT 218 TA, 5HP, 230/460 Volt, 3-phase motors. Replace all pulleys and associated hardware including the sheaves (vendor supplied). Install facility supplied belts. Contractor will be expected to route and connect all wiring. Contractor will ensure proper operation of all equipment. With exception of the motors and belts, the contractor shall furnish all labor, equipment, and materials, as well as the supervision associated with outlined requirements/taskings at the Cereal Crops Research Unit (CCRU) located at 502 Walnut St., Madison, WI 53726.

2.0 Background: The following list of equipment/replacement material will be verified and updated as needed by the contractor prior to submitting a proposal. The current motors are approximately 14 years old, but three, newer model, EM218TA motors are on hand and should be used. The current configuration uses an AX35 belt.

Under the current configuration, the blower units are exceptionally noisy, the belts tend to heat up frequently and wear quickly due in part to incorrect pulleys and age of equipment.

CONTRACTOR REQUIREMENTS

3.0 Technical Requirements/Tasks:

1. All duties should be performed within building hours of operation unless preapproved by the USDA/CCRU

2. Hours of Operation: Unless otherwise approved by the Maintenance Technician, David LaMar, all work is to be accomplished between the hours of 7:30 am to 4:00 pm, Monday through Friday, when required, except for Federal Holidays or during inclement weather. Notifications should be sent to the maintenance technician, outlining when work is to be conducted, and schedule changes should be relayed to appropriate personnel such as the maintenance technician onsite.

3. All contractors are to follow the hygiene protocols outlined in this procedure.

This procedure will cover thorough cleaning procedures, personal and respiratory hygiene practices, door handling, and social distancing.

4. Prior approval is needed before scheduling work; a CCRU Facility Access Request must be completed by the maintenance technician, and approval for the access must be granted before work can be scheduled.

4.0 Government Furnished: None

5.0 Deliverables Scheduled: All deliverables required should arrive at the CCRU loading dock during the building normal hours of operation (Monday – Friday 7:30 am to 4 pm).

6.0 Travel: Government travel is not authorized. Trip charges/fees will be pre-approved and outlined in the service/repair contract.

7.0 Contractor’s Key Personnel: The contractor is responsible for supplying personnel pertinent to the job function. Supervision and coordination of personnel will be the responsibility of the contractor.

8.0 Security Requirements: All incoming personnel must report to the building administration and/or maintenance personnel upon arrival to the building for sign-in purposes. All personnel will be escorted while in the federal facility.

9.0 Data Rights: Proprietary information applicable to contractor tasks should be outlined with guidance to protect that information if warranted.

10.0 Section 508 – Electronic and Information Technology Standards: If required, maintenance personnel will provide access to system software that may be associated with equipment replacement functions.
