Statement of Work (SOW) Project: Software and Firmware Upgrade for Hamilton Liquid Handling System

GENERAL INFORMATION

1.0 Scope of Work:

Hamilton-trained technician(s) will install Venus Four V4.5 software (newer version if it exists and is appropriate when work is finally performed) on a provided federal Windows 10 laptop, connect the laptop to the provided Hamilton Nimbus liquid handling system, install new firmware on the liquid handling system, and write/test new applications for original liquid handling tasks (DNA extraction step using PCR plates, DNA extraction step using deep plates, DNA extraction step using microfuge tubes, and transferring solution containing DNA from plates/microfuge tubes to PCR plates).

2.0 Background:

The USDA upgraded all federal computers, including isolated computers controlling specific equipment, to Windows 10, which completely bricked a $60,000 robot. Work is required to restore the Hamilton Nimbus liquid handling system to full working condition.

CONTRACTOR REQUIREMENTS

3.0 Technical Requirements/Tasks:

Hamilton-trained technician(s) will install new Venus Four V4.5 software (newer version if it exists and is appropriate when work is finally performed) on a provided federal Windows 10 laptop, connect the laptop to the provided Hamilton Nimbus liquid handling system, install new firmware on the liquid handling system, and write/test new applications for the original liquid handling tasks. The tasks are: transfer of aqueous layer (no chloroform) from one container to another for DNA extraction step using PCR plates, DNA extraction step using deep plates, DNA extraction step using microfuge tubes; and transferring one microliter solution containing DNA from plates/microfuge tubes to PCR plates. The older scripts, along with direct discussion with a lab technician, will provide guidance for the new scripts.

The work will be schedule for weekdays between 7:30 am and 6:00 pm. Precise time determined by vendor technician availability, local IT availability (to ensure computer and local network security), and laboratory technician availability (access to room and to answer questions regarding required programs).

4.0 Government Furnished:

Local USDA IT staff will provide a secure suitable Windows 10 laptop according to Hamilton specs and access to the local network necessary to complete the tasks.

A USDA laboratory technician will provide access to the room, the provided Hamilton Nimbus liquid handling system, laboratory supplies, pipettors, pipette tips, PCR plates, microfuges tubes, representative reagents, and other items required for writing/testing the new programs.

Site where work will be done is USDA Dairy Forage Research Center Room 245, 1925 Linden Drive, Madison, WI 53706.

5.0 Deliverables / Schedule:

Restoration of the Hamilton Nimbus liquid operating system to full working condition and original function. The specific applications that must work are:

Transfer of aquesous phase (no chloroform) from PCR plate to PCR plate, including pipetting air if no liquid available.

Transfer of aquesous phase (no chloroform) from deep plate to PCR plate, including pipetting air if no liquid available.

Transfer of aquesous phase (no chloroform) from microfuge tube to microfuge tube, including pipetting air if no liquid available.

Transfer of one microliter solution of DNA from PCR plate or microfuge tube to PCR plate, including pipetting air if no liquid available; guided by Excel file listing source wells or tubes, and destination wells.

The vendor will show each script works using normal laboratory supplies and water.

All due within 60 days of contract award.

6.0 Travel: Not reimbursed by Federal Government.

7.0 Contractor’s Key Personnel: Hamilton-trained/certified technician(s).

8.0 Security Requirements: Access to federal laptop and local network must be approved and monitored by federal IT staff.

9.0 Data Rights: USDA will have access to the programs for specific tasks and the right to modify programs for other procedures using the Hamilton Nimbus liquid handling system

10.0 Section 508 – Electronic and Information Technology Standards: N/A
