Scope of Work
1. Contractor will convert files/records into portable document format (PDF) on CD-ROM discs of approximately 21 cardboard boxes (10”h x 12”w x 15”w) of pre-selected materials for easy retrival of data. The total page count is unknown.
2. Contracts to be converted are primarily 8 ½” x 11”.
3. All photographs and materials will be scanned at 200 dpi in bi-tonal format or better. No color scanning will be required.
4. If double-sided pages are detected, pages will be converted to single page pdf files. Although most of the documents are one-sided.
5. There is appoximately 110 documents to be indexed within the 21 boxes. Please see index below for index field description. MS Access spreadsheet is acceptable for indexing.

b. Date of contract award Ex. June 5, 2005
c. Vendor Source Ex. (Contractor name)
d. CD Number Ex.(1,2,3,4 and so on)
6. Contractor will be required to physically provide for pick up of materials. Government will not accept shipping of boxed to and from site. Scanning of documents will be performed offsite. Once scanning is done Contractor will return material in original form to Fort Eustis, VA for destruction.
7. If conversion and delivery of CD-ROM discs is determined to be in excess of 30 days, the contractor will provide monthly updates of conversion progress/status to the Contracting Officer via e-mail at the following address: heather.m.linzy@us.army.mil
8. CD-ROM disc will consist of pdfs files that are labeled by contract number.
9. Estimated time for completion is 30 days.
10. These documents are not classified however some boxes contain source selection material which needs to be protected.
