SCOPE OF WORK

LABEL PRINT SERVER/PRINTER UPGRADE PROJECT

CHINLE SERVICE UNIT - 2019

I. Description of the work to be performed: Chinle Service Unit needs outdated patient label print servers replaced with newer secure print servers. The Service Unit is also in need of new printing hardware.

II. Background: Thermal Printing System Solution for Healthcare, consists of a Communications

Adapter working in conjunction with a thermal label/wristband printers to provide advanced thermal printing capabilities to Hospital Information Systems. The hospital currently utilizes an existing Print Server Interface device to connect printers to the Department of Health and

Human Services, Indian Health Service Resource Patient Management System (RPMS). The existing devices will be replaced with the latest vendor communications adapter to allow for on-going security updates and patches. The new print server provides Label Reformatting, FDA

Recommended Tall-Man Lettering, Bar-coding, and other advanced printing technologies and is compliant with all Institute for Safe Medicine Practice (ISMP) guidelines for inpatient pharmacy label formatting. The vendors’ solution for Positive Patient Identification (PPI) include the full use of bar code technology to assist in meeting and maintaining patient safety goals and Federal regulations and guidelines. The vendors’ solution will be usable throughout the facility care areas, including but not limited to; laboratory services, inpatient and outpatient nursing services, ED, and pharmacy services.

III. Location of Work: Chinle Comprehensive Health Facility, off Highway 191 & Hospital Road, Chinle, AZ 86503.

IV. Period of Performance: 30 days after award.

V. Deliverable/Schedule: Purchase Order number shall be visible on all shipping labels. Schedule shall not interfere with General Services Delivery from GRSSC. Staging of delivered items must be communicated two weeks before items are delivered.

VI. Performance Standards/Requirements:

a. The vendor will provide thermal printing solutions for Chinle Service Unit, Pinon Health

Center, Tsaile Health Center, Many Farms Dental & Rockpoint Clinic.

b. The vendors’ solution for Positive Patient Identification (PPI) include the full use of bar code technology to assist in meeting and maintaining patient safety goals and Federal regulations and guidelines.

c. The vendor will utilize the current label format used by the hospital at the time of the replacement. Any label formatting changes will need to be submitted to vendor for design, programming, testing and approval at least two weeks prior to the scheduled implementation.

d. The vendor will be utilizing current LAN drop and power locations used by current D2 interfaces. Telecom department should inspect each LAN drop and power outlet that will used by the new print server to ensure activation and access before the implementation date.

e. Once the vendor gets confirmation of the reception of all ordered hardware is complete, the installation can be scheduled for Chinle Service Unit.

f. The vendor will confirm the condition and the quantity of the received units upon arrival and prepare each unit for the implementation. Once confirmed, the vendors’ technician and

IRM personnel will go to each existing print server to be replaced and confirm that unit’s IP address. The technician will then disconnect the print server’s power and LAN, remove the old print server unit from the thermal printer and install the new print server unit interface.

Once power and data cables are connected to the new print server, the technician will confirm active power and data to the new unit while the interface is booting for the first time. Once the printer produces a configuration label, the unit will be tested by printing from RPMS to confirm communication to the printer and that the output and workflow is consistent with the previous print server device.

g. Due to security concerns, all vendors’ old print server units that have been successfully replaced will be permanently disabled and returned with the vendors’ technicians.

Therefore, steps should be taken by the hospital staff to ensure that all internal inventory measures that includes removal of asset tags, removal from inventory system, etc. This should be taken to ensure removal by the scheduled implementation date. General Services will be notified after account is awarded to vendor, and form HHS-22 will be initiated for each old print server returned to vendors’ technician prior to technician taking old print server.

h. Chinle Service Unit will require an Annual Service Maintenance Agreement. Services & support will be introduced when account is awarded.

VII. Special Requirements:

a. In order to provide support for label printing and services, VPN access might be optional if remote support is required for vendor. The vendor shall apply for access.

Calibration Procedure

• The GX420 and GX430 are equipped with a standard auto-calibration feature that can be set to initiate automatically during start-up of the printer - utilizing two to four labels to calibrate for efficient operation and less waste. The printer will also save the new settings in memory until the next calibration is performed.

• A manual calibration procedure can also be performed, if required. Consult your User’s Guide for more details on the specific manual calibration steps.

**Spacing of Asian characters is controlled via the i command. The formula for CPI is 203 / (32 + i). Thus as i increases, CPI decreases.
