RAF Mildenhall Library Statement of Work Shelving and Furniture Installation

GENERAL WORK TO BE INCLUDED:

Base:-RAF Mildenhall
Location of Work:-Building 425, one story, no elevator, interior entrances

Rooms to have new library shelving and furniture in the Main Library are the Computer Lab 125, Children’s Room 104, Teen Room 105, Study Room 120 and the Main Collection room 101.

Storage:-On base storage not available
Phasing:-One continuous phase, Library will Close for 1 week, 5 days to complete this requirement

Alt POC:-Ms. Emily Enderle
Note: -Contractor responsible for: delivery of all necessary supplies to complete the shelving and furniture installation, provide removal of existing shelving and furniture and disposal of all items. Contractor responsible for: moving all items on the floor, to include all furniture, library books, materials and shelving to accommodate building of new shelving and the replacement/re-shelving of such.

DESCRIPTION OF SERVICE: The contractor shall furnish all personnel, equipment, tools, materials, supervision, transportation and all other items and services for delivery, removal/disposal of existing shelving and the installation of new shelving. The Contractor shall conform to all requirements listed in the statement of work. The contractor shall also comply with local laws regarding disposal of old shelving and associated materials.

REQUIREMENTS:

DELIVERY, RECEIVING, STORAGE, HANDLING AND PROTECTION OF MATERIALS:

1) The contractor is responsible for the storage and safekeeping of all material to be used in the work including the purchase of all shelving, and other sundry items.

2)Contractor must make every attempt to protect all government and non-government property and personnel on base from inconvenience and damage or injury.
3)The contractor shall instruct employees in utilities conservation practices. The contractor shall be responsible for operating under conditions that preclude the waste of utilities, which shall include: Lights shall be used only in areas where and when work is actually being performed, doors will be kept closed when air-conditioning or heating systems are running except when opened to move materials or enter or exit the work area. The contractor shall not adjust mechanical equipment controls for heating, ventilation, and air conditioning systems. Water faucets or valves shall be turned off after the required usage has been accomplished.
4)Furniture/book shelves and books/library materials will be moved by the contractor to include taking books of the shelves, boxing of books/media, storage (can be arranged onsite), and installation on completed shelving. The following are a list of estimated books/media per room:

ROOM 120- Study Area: Education Stock 2135 Volumes ROOM 101- Main Area: DVD/Audio Books/CDS 6,400 Volumes; Fiction 2240 Volumes; Non Fiction 3080 Volumes ROOM 104 – Children’s Room: 5650 Volumes ROOM 105 – Young Adults Room: 1120 Volumes *DELETED*

5) Computers/IT equipment will be powered off and made ready to move by IT Manager/ Library staff. *DELETED*

REMOVAL OF EXISTING SHELVING, SHELVING BASE, WOOD BASE OR RUBBER BASE:

1) All removed shelving material is to be disposed of through a certified reclamation facility by the contractor. It will be the responsibility of the Contractor to coordinate all necessary labor, preparation and transportation of taken up material to a certified recycling facility. It will be the responsibility of the contractor to find a suitable facility that will accept the material.

PREPARATION OF ALL SURFACES TO RECEIVE NEW SHELVING:

2) All surfaces shall be completely dry and clear of all loose floor, dirt, oil, wax, grease, and free from all other debris and from foreign matter.

INSTALLATION OF NEW SHELVING:

1)All products must be installed per the manufacturer’s instructions, as well as be in compliance with all applicable laws, regulations, ordinances, and standards related to environmental matters.
2)Cut and fit shelving neatly around projections through floor and to walls and other vertical surfaces.
3)RAF Mildenhall will provide the facility to the contractor during normal working hours as follows: Monday, Wednesday & Friday 10am – 6pm; Tuesday & Thursday 10am – 7pm, to obtain access to the job site in order to take measurements required for the pre-construction process. The contractor will contact the primary or alternate POC to coordinate this effort. The library will be closed for 1 week to complete this effort. It will be coordinated after award.
4)All damaged areas during the working process should be restored to its original conditions.
5)Work shall be completed as expeditiously as possible. The structure shall be occupied during the execution of this contract by employees only, it will be closed to library patrons.
6)The Contractor shall provide quantity construction personnel, equipment, materials, tools and supervision as needed to complete the services that meet the technical requirements in this Statement of Work [SOW]. It is expected that the Contractor shall partner closely with RAF Mildenhall Library personnel by contacting the Primary or alternate POC.

CLEANING, PROTECTION AND JOB FINISH:

1)Following installation, entire surface of shelving shall be clean. Any shelving soiled during or after installation, and prior to final acceptance shall be thoroughly cleaned, using materials and procedures recommended by the manufacturer.
2)Installer is to provide all remaining materials not installed for the facility to be used for future repair.
3)Remove all equipment, containers, and all other construction material upon completion of contract.
4)Job is considered finished after a walk through has been accomplished with the Library Director and a representative from Civil Engineering to determine any punch list items and those items have been remedied to the satisfaction of the Library Director and Civil Engineering.
