Background:
The Andrew K. Baker Community Based Outpatient Clinic (CBOC) has a requirement to purchase a new Information Center Kiosk for Veteran check-in.
General:
The Information Kiosk will allow lab, enrollment, and eligibility patients to self-check-in to provide a more efficient check-in process.
Flow of Information Kiosk for Veteran:
- Patients will check-in at Lobby Kiosks and receive a paper ticket from Kiosk showing the patient’s unique ticket for their individual visit.
- Staff member calls the next patient from their PC at their Station (no voice announcement needed in the waiting area).
- TV Monitor in the waiting area displaying the unique ticket numbers being called and the specific station to arrive.
Salient Characteristics:
The Information Kiosk shall meet or exceed the following features:
• Provide an on-premises software system for self-service check-in kiosks for Veterans arriving for appointments to minimize desk/window traffic.
• Provide a minimum of twenty-two (22) user licenses: Twenty (20) for staff and Two (2) for management.
o Allows the following features: Counter, reports, operations panel, media display, kiosk licenses, delivered services, and surface editor.
• No voice announcement system in the lobby area – this is not needed or approved due to building limitations.
• Check-in floor pedestal with kiosk/ticket printer in lobby.
• Must have the capability to print a ticket for Veterans to obtain waiting que information.
• Ceiling mounted waiting area display
• Enterprise operations panel (hub)
• Provide standard reports
• Hardware to include:
o Check-in kiosk 22” touchscreen with floor stand, kiosk/ticket printer, and installation pack: quantity two (2) needed for lobby area o 43” TV monitor with installation pack: quantity one (1) needed for lobby area o Hub station with software base license and software media player license:
quantity one (1) of each needed
• Software to include:
o User licenses for staff and management: Quantity - Twenty-two (20 staff and 2 management)
• Accessories to include:
o 4-port ethernet switch: quantity 1 needed o 300’ box of Cat5e cable: quantity 1 needed
• Training: Provide remote training via Teams Meeting Video Call unless specified otherwise to all using staff.
• Installation: Provide minimum of one (1) installation session on-site. Install new wiring to new hardware.
• Warranty: Must include a minimum one (1) year manufacturer’s warranty on all hardware and software.
• Care/Support and Maintenance/Services:
o Provide a software care package that includes software professional service installation for minimum one (1) year.
o Provide a hardware care support package that includes hardware professional service installation for minimum one (1) year.
• VA approved – holds active ERA and TRM reports.
Installation & Setup
• Unpack, inspect, and assemble the information kiosk at the designated location.
• Verify that all components and accessories are included and in proper working condition. Configure the information kiosk settings according to facility needs.
• Offeror must perform initial system checks and calibration to ensure optimal performance.
Testing & Validation
• Conduct a comprehensive functionality test to verify proper operation.
• Perform patient simulation tests to ensure accurate performance.
• Address any defects, malfunctions, or calibration issues before final acceptance by the Government.
Training & User Orientation
• Provide on-site training session for technical staff.
• Provide operational procedures, including setting adjustments, monitoring features, alarm management, and troubleshooting.
• Provide instructional materials, user manuals, and video tutorials for reference.
• Conduct a competency assessment for trained personnel.
Maintenance & Support
• Equipment offered must have a clear minimum of one (1) year warranty period as per manufacturer guidelines.
• Ensure availability of spare parts and consumables.
• Provide technical support and troubleshooting assistance on-site or remotely.
Delivery:
Middleburg VA CBOC during normal business hours of Monday – Friday (Excluding National Holidays), 8am – 4:30pm:
o Andrew K. Baker CBOC 400 College Drive Middleburg, FL 32068
• Federal holidays are: New Year’s Day, Martin Luther King Jr. Day, President’s Day, Memorial Day, Independence Day, Labor Day, Columbus Day, Veterans Day, Thanksgiving Day, and Christmas Day.
Privacy Requirements: This equipment does not connect to the VA network or involve sensitive/privacy information. This is for equipment only.
