Mission ~ Wingman ~ Partners

Flat Panel Display – 2 each

• Screen shall be at least 65" in size (measured diagonally)

• Display resolution shall be at least 4K Ultra High Definition (UHD)

• Contractor shall remove and dispose of existing televisions.

• Screen shall be mounted on the specified rear wall, centered horizontally.

• Height to be determined by the Government at time of installation.

• Display resolution shall be at least 4K Ultra High Definition (UHD)

• Contractor shall remove and dispose of existing televisions.

• Screen shall be mounted on the specified side wall, centered horizontally.

• Height to be determined by the Government at time of installation.

Video conference system (Camera) – 1 each

• Shall be at least 1080p.

• Shall have ability to see all participants in the conference room.

• Shall be mounted on the specified rear wall, centered horizontally with the conference room table.

• System shall be able to save at least three presets for camera positions.

• Contractor shall remove and dispose of existing camera and mount.

Microphone & Speakers – 6 Combo

• Microphones shall hear all participants in the room at normal speaking volume – long range capability.

• Audio from speakers shall be clear to all participants in the room.

• Microphone and speakers shall be ceiling mounted.

• Microphone shall be mutable via the tabletop console.

• Microphone and speakers shall tie into the existing government phone number.

• Contractor shall remove and dispose of existing tabletop microphones and ceiling mounted speakers.

Command Center Console– 1 each

• Contractor shall remove and dispose of existing table from rear of conference room.

• Provide command console to house the contractor-supplied systems equipment with locking cabinet doors.

• The total length of the command center shall be no more than 48” in width and between

23” and 30” in depth.

• The finish of the command center shall closely match the finish of the existing conference room table – Cherry/Dark Cherry.

• Shall be located against the rear wall opposite the specified main door entrance.

• The command console shall have conference phone dialing capabilities and the ability to mute the conference phone from the tabletop command console.

User Interface – 2 each (1 Primary and 1 Alternate)

• Contractor shall provide tabletop consoles for the conference room table and for the command center for the user to interface with the system software, i.e. Microsoft Teams and Zoom and hardware equipment.

• The tabletop consoles shall enable user control of the display, microphone, speakers, and cameras from the conference room table as well as the command center.

• To maximize functionality of the room, the tabletop consoles shall be able to, at a minimum, provide the following features with minimal user interaction or training:

• Switch the input shown on the rooms display between a computer at the command center, a government computer at the conference table, and a computer at the conference table.

• Place and receive calls with the Government-supplied phone number.

• Mute the system microphone.

• Adjust the volume of the system speakers.

• Adjust the zoom and directionality of the system camera.

• Contractor shall remove and dispose of existing consoles and equipment.

LCD Time-Zone Signage Display/US – 1 each

• Provide and mount to wall above the command center.

• Shall have the capability to display at least four global time zones.

• Shall have a LCD panel

• Shall have the capability to display the organizational name as well as at least two images/logos.

• Shall not be battery powered.

• Shall be approximately 36”x11” (+/- 6”)

• The time zones, images, and organizational name shall be user programmable.

Existing Equipment to remain installed include:

• Universal Flat Panel Wall mounts – 4 each

• Epson Large Screen Projector

4. SUPPORT AND MAINTENANCE.

• Contractor shall offer a service level agreement that offers the following:

• Phone technical assistance from a U.S.-based helpdesk that is staffed with trained audio-visual (AV) support specialists.

• If the issue cannot be solved remotely, contractor shall provide onsite support, no later than one day after it is determined on-site support is required. On-site field technician support shall be available Monday through Friday from 8 AM to 5 PM Central Time excluding federal holidays.

• Dispatched technicians must be able to receive a base access pass.

• Contractor shall provide a response to phone calls for support as quickly as possible; no later than one (1) hour after call origination. (Monday through Friday, 8 AM to 5 PM Central time, excluding federal holidays)

• Contractor shall respond to email or web portal-originated service request as quickly as possible; no later than four (4) hours after request origination.

(Monday through Friday, 8 AM to 5 PM Central time, excluding federal holidays)

• Contractor shall provide documentation and training on how to report issues and access helpdesk services which shall be provided post award.

5. SITE COORDINATION. The Contractor shall visit the site and familiarize themselves with all conditions and the full extent of the project. The Contractor shall verify all dimensions and details in the field. Any discrepancies shall bring to the attention of the Contracting Officer. The contractor shall identify the number of network drops required for the project during this visit and provide that information to the Government upon quote submission.

6. WARRANTY AND MAINTENANCE.

6.1. The contractor shall provide warranty documentation and extend to the government, all manufacturers’ warranties for the entire period covered by original equipment warranties with written procedures of required information for warranty services.

6.2. The contractor shall troubleshoot, maintain, and repair the system for one full year after the system acceptance date.

6.3. For all contractor provided equipment, during the warranty period, the contractor shall be responsible for fault isolating, removing, and replacing defective units at no additional cost to the government. Specifically, replace hardware under warranty to include any necessary programming or installation at no additional cost to the government, i.e. maintenance and technical support.

6.4. The contractor shall also be responsible for arranging for the repair and return of the defective equipment to the manufacturer, and re-installation and checkout of the equipment upon its return to service, for the duration of the equipment warranty period.

7. HOURS OF PERFORMANCE. Installation can be completed between 7:30 AM and 4:30 PM Central Time, Monday through Friday, except on federal holidays and designated family days.

8. DELIVERALBES:

1. Equipment lists and capability description in accordance with paragraph 1.

2. Equipment specified in paragraph 3.

3. Documentation and training on how to report issues and access helpdesk services in accordance with paragraph 4.

4. Warranty information in accordance with paragraph 6.
