PRE-QUOTE MEETING MINUTES

April 15, 2015 Fort Pierre Ranger District Office

SOLICIATION NUMBER: AG-65T0-S-15-0021

PROJECT NAME: 2015 FPRD Noxious Weed Treatment Contract

PRESENT:

· U.S. Forest Service: Trudy Scherbarth, Kim Tompkins, Kelly Fuoss and Darrin Jons

· Potential Bidders: Wade Hamiel, Tommy Hamiel, Donnie Hamiel and Cassie Ripley (Ground Effects), A.J. Rounds (Farm & Ranch Solutions), Emeric Erickson (EB Farms Inc.), Jack Doolittle (MidDakota Vegetation Management)

NOTES:

The meeting was attended by seven potential quoters representing four separate spraying companies and four US Forest Service employees; two via telephone. The meeting started on time at 1 p.m. CST with Trudy and Kim explaining the contract and how to submit a bid. After the initial explanation the group was asked if there were any questions.

A few questions did arise from one potential quoter. Those questions were in regards to the GPS/GIS requirements, treatment timeframes, and landscapes around riparian areas. Kelly Fuoss gave a quick overview of how to fill out the field forms for the contract and how the information needs to be mapped for input into a geodatabase for reporting. Kelly explained that though the USFS uses Trimble technology for its spatial needs, she has been told by the Forest GIS staff that other GPS units can be used; the main focus needs to be in populating the geodatabase which will be up to the contractor to work out. The potential quoters were told that the ideal timeframe for treatment of these weeds was the bud to flowering stage which is roughly early May through early July depending on weather. She used the maps in the solicitation packet and a map of the Fort Pierre National Grassland to explain location and topography since an offer of a field trip after the meeting was not of interest to the potential quoters. Darrin Jons highlighted the fact that for this contract the herbicide will be provided by the contractor.

The meeting concluded with Trudy Scherbarth and Kim Tompkins explaining one more time how to submit a quote.

Meeting was adjourned at 1335 CST.
