Addendum No. 1

Facilities Management Software City of Santa Clarita, California
This addendum must be acknowledged via BidNet and should be included with the proposal response.
There was a non-mandatory, pre-proposal meeting on September 10, 2024 beginning at 9:00 AM (PDT).
The meeting was conducted via Zoom.

The following questions were asked and answered:
Q1) What is the City looking to get out of the work order part of your scope? Inspections, condition rating, any kind of financial or budget planning for the future?
A1) Yes, we are looking for all of those features.
Q2) Is data migration part of the scope?
A2) Yes, part of the scope will be building asset inventory.
Q3) How much of the asset data is in GIS?
A3) No data is in GIS – it is in an excel sheet.
Q4) Is one of the project’s goals to get asset data into a GIS platform?
A4) Yes, so that we can utilize GPS coordinates. If the GIS offering is not robust enough, we would like to see an offset, like a QR code, particularly for lights and trails. A benefit to the platform offering would be to have a GIS component.
Q5) Does staff have access to the GIS platform?
A5) The City would prefer to continue building GIS data using ESRI applications. The City currently utilizes ESRI Enterprise Portal 11.1 as its GIS infrastructure. If the intent is to use a standalone application the City would appreciate the ability to export data in a GIS format (shapefile, KML, geodatabase, etc.).
Q6) In regards to user count, is there any way to provide a breakdown of job description functions? Who will be submitting service requests?
A6) The 500 users will be for requesting input. About 30 staff members will be managing work orders, and about 10 staff members will be pulling reports on backend to record and analyze data.
Q7) Are requests still going to go through GoGov?
A7) We are hoping to improve efficiencies by having a separate submission platform.
Q8) Is the City looking for analytical reporting or predictive reporting?
A8) The City is looking for predictive reporting. As far as analytics, it would beneficial for workload management to be able to distribute work more efficiently with the help of analytics.
Q9) Do you have inventory you are currently managing for storage?
A9) We do; we are exploring tracking consumables, HVAC supplies, lightbulbs, and janitorial supplies to start off the program. We will include other supplies in the future. We also have some pool apparatus supplies that we may want to integrate into the platform as well.
