About this file
This Addendum No. 1 to RFP# 247-252293-AE clarifies requirements for Architectural/Engineering services for the Southside Renovation project at George Mason University's Fairfax Campus. The project scope encompasses a major renovation of approximately 38,913 square feet involving the replacement of millwork, finishes, back-of-house kitchen equipment, furniture, lighting, graphics, signage, and digital screens, with anticipated modifications to mechanical, electrical, and plumbing systems and layout changes to both floors to improve foot traffic flow. The A/E firm must address a teaching kitchen to be used for classwork, clubs, faculty events, and open invitation for users, with coordination between GMU and the designer/culinary consultant regarding equipment selection. The project operates under a design schedule requiring permit-approved drawings by February 2027, with equipment potentially requiring submittal-ready status prior to that deadline; construction procurement is anticipated between February and early April 2027, with construction starting in April 2027 and substantial completion targeted for July 2027 to meet the August 17, 2027 deadline. The optional pre-proposal conference was held on May 27, 2026, with 46 attendees from multiple architectural and engineering firms. Proposals must be submitted electronically through Mason's Construction Management Software Program, e-Builder, via the designated bidding portal.
The projected construction budget for the project, including furniture and equipment costs, is $7 million. The scope is limited to interior renovation of the Southside Building's footprint with no site improvements, landscaping, envelope upgrades, structural modifications, or new generator requirements. MEP scope is limited to distribution within affected spaces only. Key consultant disciplines required include food service consulting, cost estimating, and AV/IT/security consultants, with firms expected to include additional sub-consultants as deemed necessary to accomplish the project tasks. The project will not pursue LEED or other certification. Existing HVAC, electrical, plumbing, fire alarm, and fire protection systems were all constructed in 2018. The A/E firm must achieve a minimum 50 percent participation threshold in the proposal evaluation, with firms evaluated on the percentage of participation provided. All addendums must be signed and included with the proposal submission. Updated HECO forms were provided as fillable Excel files in accordance with Virginia DGS requirements.

GENERAL INSTRUCTIONS
DO NOT attempt to fill in these forms online. First download and save a copy to your computer, then fill in the saved copy.
Read the Specific Instructions below to assist you in completing the various AE Data forms.
Click on the sheet tabs below to go to the appropriate form.
( If you need more than one copy of a specific type of form, make a copy of this Excel file.)
Fill in the fields highlighted in yellow. You can use the tab key to move easily from field to field. You can also use the mouse to select the field you wish fill. (On large text fields, you must use the mouse to select them, rather than the tab key.)
Some fields contain selection lists. These fields are denoted with an arrow just to the right of the field. To select from the list of choices, click on the arrow and then select the appropriate choice.
When complete, print the appropriate forms, assemble them in order, and submit them to the address noted in the RFP.
Be factual and concise. Remember that the Building Committee members will be reviewing numerous responses to an RFP before selecting 3 to 5 firms for an interview.
Deviation from the prescribed format is NOT encouraged as it makes it more difficult for the Building Committee to review submittals. Form AE-6 allows you to include other supplemental data which is not covered on Forms AE-1 through AE-5.
