QUESTIONS AND ANSWERS: 61320621Q0033 AUDIO-VISUAL AND TELECONFERENCING SYSTEM UPGRADES
Question 1: Will this be a prevailing wage project?
Answer:
A wage determination will not be included in this requirement. However, all pricing will be evaluated to determine, if all prices are fair and reasonable.
Question 2: Is there a target date for completion of this project?
Answer 2:
Please see section 3.5 on page 20 of the attached RFQ.
Question 3: Will there be an area on site where equipment can be securely stored during the build phase?
Answer 3: The vendor will need to provide a list of equipment requiring storage during the first meeting of the Project Manager and the COR. The COR will determine if secure storage is available.
Question 4: In a combined mode will all sources from Room(s) 103, 104 and 105 need to be available for display? i.e. the room is configured as one large space with the 105 projections screen as the primary display. Will you need to send room 103 or 104 sources to the primary display or will the sources default to the ones in Room 105?
Answer 4: The source should default to the primary 105 screen, which is what will be shown on the other 3 monitors in 105, 104, 103 when configured in one room.
Question 5: Will we be allowed to use the cabinetry in Room(s) 103, 104 and 105 to house the audio-visual equipment or will a separate stand-alone equipment rack be required?
Answer 5: Yes. The cabinetry can be used to house the AV equipment in all rooms. The bidders should identify how much cabinetry will be utilized for the equipment.
Question 6: For Room(s) 103, 104 and 105 will auto camera tracking/following of the presenter at the front of the room be required?
Answer 6: This is not a requirement, but can be an option.
Question 7: For Bethesda Room 714 some or all of the millwork will be removed by the AV contractor per the documents and site visit. Are there dumpsters onsite for this purpose or will the debris need to be removed completely from site?
Answer 7: It is the responsibility of the vendor to dispose of all debris from the work site. No on-site dumpsters are available.
Question 8: For Rockville Room 148 the room has an existing lectern. Will a second camera be required to capture the presenter that stands at the front of the room?
Answer 8: This is not a requirement, the lectern is mobile and is often not used, this could be an option.
Question 9: For Rockville Room 148 If a presenter camera is needed will auto camera tracking/following of the presenter at the front of the room be required?
Answer 9: This is not a requirement, but can be an option.
Question 10: For all locations is there a desired form factor for the Touch Panel Remote Control? Wall mounted or table top?
Answer 10: Table top.
Question 11: For all locations if it is determined that additional electrical or data is required can you please provide the location of the electrical and telecom rooms in relation to the new work locations?
Answer 11: Yes. We will provide this information. For power and telecom CPSC feels that there is enough available in the rooms for the installation.
For 5RP, the sub panel for all conference room power feeds is at Panel L4A. there are spare breaker slots and panel capacity. Distances from the 103-105 complex from Panel L4A the rooms ranges from ~60 feet of conduit to drop ceiling height (10 feet AFF) for Room 105, ~80 feet for Room 104, and ~100 feet to room 103. The distance from Room 148 front area ceiling height to Panel L4A is about 180 feet. These are based on current conduit runs from L4A to these rooms.
For Bethesda Towers see the attached drawing. The electrical and telecom rooms are adjoining. Access through the ceiling is no more than 60 feet point to point.
Question 12: For all locations please confirm the vendor responsible for implementing the Cisco Unified Communications system will be providing the appropriate WebEx licensing for the video conf. endpoints?
Answer 12: Yes
Question 13: Can the government determine if there is a requirement for second cameras that are Positioned to capture a camera angle of someone standing behind the lecterns in the rooms That seem to have them? This likely applies to Rooms 105 and Room 148.
Answer 13: This is not a requirement, the lectern is mobile and is often not used, this could be an option.
Question 14: Can the government confirm that the planned or currently pulled government furnished USB connections from the architectural connectivity at the table to the cabinets in Rooms 103, 104, and 105 are intended to connect to the GFE VDI computers and, if so, the government does not require any additional USB connections?
Answer 14: Yes, that is correct.
Question 15: Does the government plan on re-using the projector in room 702, or require a new projector?
Answer 15: The projector in room 714-02 is to be removed as it will be replaced by the required monitor as per the SOW and the currently installed screen is out of scope and will remain.
Question 16: In regards to the Room 714-2 demolition and construction is not something that we typically perform. We respectfully request one of the three following approaches for the project so that we can provide a proposal:
A: We leave the millwork in place and install a projection screen instead of a wall-mounted monitor B: The Government handles the demolition and construction and we install a wall-mounted monitor C: We provide a proposal for the Rockville rooms only
Answer 16: In anticipation of the appropriately sized screen (86 inches, page 15 of the SOW) to meet the requirement set in the SOW the millwork will need to be removed. It is the responsibility of the vendor to provide the demolition and construction to meet this requirement. The SOW is for installation in both buildings and the vendor cannot bid on only one building.
Question 17: There is a mention of “Interactive AV Solution”, please confirm that interactive (touch) displays are not a requirement.
Answer 17: Table top controllers are required to be “touch screen” but display monitors do not have an interactive requirement, this can be priced as an option.
Question 18: For the Bethesda room, there is a reference to a means at the table to incorporate additional laptops or similar devices into the system. Is there any requirement for connectivity beyond one HDMI and 1 VGA at the table?
Answer 18: No, the table top power and the connections for presenting.
Question 19: For the Bethesda room, there is a reference to USB power and AC power provided to all attendees sitting at the table, we count 10+ seats. Will the Gov’t provide this connectivity?
Answer 19: No, the existing connections of table top power and connections should be sufficient.
