2. Contract Title.
ScriptPro SP50 Robot Replacement/Upgrade to ScriptPro SP100
3. Background ScriptPro is at the core of the outpatient pharmacy prescription processing workflow. ScriptPro automation has been used since late 2006 and it has improved safety and throughput for local prescription processing. ScriptPro allows filling of patient prescriptions efficiently while meeting or exceeding guidelines set by VHA directive and federal law. One of the core functions of the ScriptPro system is the robotic filling of medications that occurs via the SP200 robot and the SP50 robot. The SP50 robot has reached the manufacturer’s anticipated end of life, and after prolonged intense use, we are experiencing a corresponding increase in breakdown of robot parts resulting in significant periods of robot downtime. This affects pharmacy efficiency; pharmacy productivity and patient wait times. Downtimes also impact the accuracy in outpatient pharmacy prescription filling since robot filling is more accurate than having a human component to fill in its place. Inaccurately filled prescriptions are a patient safety issue. Replacement and upgrading of this vital piece of pharmacy automation is needed at this time and will result in a positive impact on pharmacy efficiency and patient wait times.
4. Scope
This project encompasses patient care across the Southern Arizona VA Health Care System (SAVAHCS) continuum. The physical location of the ScriptPro robot is in the outpatient pharmacy; however, many of the outpatient prescriptions dispensed to patients, regardless of prescriber or clinic, are processed using the SP50 robot.
5. Specific Tasks.
Upgrade ScriptPro hardware from the SP50 robot to a new SP100 robot
5.1 Task 1 – Replace existing SP50 robot.
5.1.1 Subtask - Move PIV cabinet and cabinet power to alternative site (already established area)
5.1.2 Subtask 2 - Remove existing robot from site.
5.1.3 Subtask 3 – Install new SP100 robot with 4 new robotic cell multiplexors (RCMs)
5.1.4 Subtask 4 – Integrate new SP100 robot with existing ScriptPro System
5.1.5 Subtask 5 – Test new SP100 robot to ensure full functionality.
5.1.6 Subtask 6 – Train users and subject matter experts (SMEs) on new hardware
Deliverables: Successful installation, testing and, where applicable, staff training
6. Performance Monitoring
Pharmacy Service Line staff will ensure proper testing and functionality of new SP100 robot and all RCMs to assure proper working order prior to accepting receipt of the items and services.
7. Security Requirements
The proposed project uses an existing Virtual Local Area Network (VLAN), standing HL7 interfaces and existing secure vendor remote access. In addition, the proposed project requires vendor access into restricted areas (pharmacy); SAVAHCS staff will accompany the installation team throughout the install and will be present any time the installation team/manager (contractor) is in a physically secured area.
8. Government-Furnished Equipment (GFE)/Government-Furnished Information (GFI).
Not applicable, the contractor will not utilize any GFE or GFI, which is outside of current ScriptPro standard operating procedures, during the installation.
9. Other Pertinent Information or Special Considerations
This system is located on a secured Virtual Local Area Network (VLAN). The system, while using VA IT resources for networking, does not link, nor have access to, other VA network resources.

All systems/components/software are to be shipped to their final destinations prior to installation; any associated shipping costs must be included in the contract.
e. Inspection and Acceptance Criteria.
As mentioned previously, the COR and/or their representatives will test the equipment prior to acceptance. We currently utilize ScriptPro in our workflow and will run test scenarios that mirror regular workflow to assure the installed updates/systems are working properly.
10. Risk Control:
The system upgrade presents no additional infection, physical security and/or information security risk. To the contrary, the proposed upgrades will enhance information security.

12. Period of Performance This is a single purchase of commodities and installation of commodities. The period of performance is the installation period, which should not exceed 1 month for all purchased merchandise.
